Accounting Assistant

We are looking for an Accounting Assistant to join our team! The Accounting Assistant works closely with the accounting team and various other internal departments.

Responsibilities:

• Reconciles invoices and identifies discrepancies.
• Creates and updates expense reports.
• Processes reimbursement forms.
• Prepares bank deposits.
• Enters financial transactions into internal databases.
• Checks spreadsheets for accuracy.
• Participates in quarterly and annual audits.
• Maintains all accounts payable files (i.e. scan invoices, W9, W8), including filing invoices, rename and updating vendor files, estimates 2-3 times per week.
• Sorts invoices in descending and ascending order, files invoices, and put into boxes.
• Prepares and sends AP checks with appropriate documentation
• Requests monthly open balance statements from vendors (match with our books to avoid past-due invoices)
• Follows/adheres to the Standard Operating Procedures (SOP’s), Good Manufacturing Practices (cGMP’s), Standard Safety Practices, and all company policies/procedures. 
• Completes other duties as assigned by management.

 

Qualifications:

• 3+ years’ experience in Accounting.
• Communication Skills (Oral/Written) - able to speak clearly and accurately in order to ensure effective department operations.
• Computer Skills (Intermediate) MS Office - Word, Excel, PowerPoint, Outlook, and QuickBooks.
• Detail Oriented - pays close attention to detail, accuracy, and completeness, double-checking their work.
