Job Description and Duties

Under the direction of the Administrator of the Legal Administrative Support Section of the Technical Resources Bureau of the Legal Division, the incumbent performs a full range of legal and administrative analytic support services, including travel and conference coordination, legal management support, training, procurement, and backing up other analysts in the Legal Division. Common responsibilities include preparing reports, developing tracking tools, analyzing data, coordinating with internal and external stakeholders, interpreting administrative policies and supporting division leadership with timely and accurate information.
Legal Budget Analyst
Preparing, monitoring, and analyzing spending reports and budget related data. Assisting with Procurement activities, including purchase requests, tracking and documentation. Developing and maintaining spreadsheets, pivot tables and other tools to track financial and operational trends. These duties are interdisciplinary in nature and may include conducting and/or reviewing analytical studies and surveys; making recommendations on administrative and program-related problems; analyzing, identifying potential impacts on the division’s travel and training programs; planning, implementing, and conducting training; acting as a team lead or coordinate projects involving various enterprise projects; and providing analytical services and recommendations to management.
Division Support Analyst
Assisting in the hiring processes, interview coordination and preparation of hiring documents. Coordinating communication with candidates, hiring managers and HR partners. These duties are interdisciplinary in nature and may include conducting and/or reviewing analytical studies and surveys; making recommendations on administrative and program-related problems; analyzing, identifying potential impacts on the division’s travel and training programs; planning, implementing, and conducting training; acting as a team lead or coordinate projects involving various enterprise projects; and providing analytical services and recommendations to management.

Working Conditions
This position requires 4 or more days in the office per week. It is designated office-centered and may be eligible for some remote work based on departmental guidelines and operational need.

- Advanced proficiency in Microsoft Office Suite, including Excel (pivot tables, formulas), Word, and PowerPoint; ability to quickly learn new features as needed; and proficiency in Adobe Acrobat Pro
- Ability and willingness to ask relevant, probing questions, demonstrate curiosity, and seek to fully understand processes, issues and data before drawing conclusions
- Experienced in division budgeting, fund condition reporting, salary tracking, and preparing travel claims and training nominations
- Excellent customer service skills
- Knowledge of FTB Internal Systems such as Taxpayer Information (TI) system, Enterprise Tax Systems (ETS) etc.
- Capable of training staff on system functions and processes
- Strong analytical abilities: data gathering, organization, summarization, and problem-solving for reports, presentations, or discussions with management or team members
- Ability to analyze information, identify inconsistencies, define problems and recommend practical solutions
- Knowledge of Tableau and Business Objects
- Exceptional organizational skills; able to multi-task, maintain attention to detail, and adapt to changing priorities and deadlines
- Experience in working on a project either as a team member, support role or lead
- Knowledge of Case Management system
- Strong written and verbal communication with all levels of staff
- Demonstrates flexibility, confidentiality, and the ability to work independently or collaboratively
- Experience in an analytical classification or performed proven analytical work
- Ability to maintain confidentiality
