Transaction Specialist

Minimum of 5 years administrative support experience Previous Commercial Real Estate experience and/or knowledge required Advanced knowledge of Microsoft Word, Excel, Outlook and PowerPoint Knowledge of and ability to work in Adobe Creative Suite (Illustrator, Photoshop, InDesign), REGIS, ZipForms, Placer.ai, Zonda, and LandVision preferred Typing: 60 wpm Strong interpersonal skills are required to work with all levels of employees and clients; Be proactive and a team player Strong written, verbal, organizational, administrative and communication skills Attention to detail with the ability to work in a fast-paced environment Experience working in an office environment A professional appearance and telephone manner is essential Tasks Assist multiple brokers with administrative tasks or special projects as assigned Collaborate with team members to provide seamless support across all levels Participate in team meetings, understanding team’s objectives and anticipating needs Coordinate and facilitate business travel, lodging, event registration, itineraries and business expense reimbursements for team members Assist brokers with proper scheduling and set-up of conference rooms and presentation materials Coordinates and calendars meetings and events, and assists with event coordination when needed Prepare and review purchase and sale agreements, lease agreements, letters of intent, listing agreements and various other documents as requested Generate contract summaries and critical dates/contract timelines Assist in the collection of due diligence materials General correspondence with prospective clients, tenants or their agents while adhering to legal and regulatory requirements Research property ownership information and provide contact information to the brokers as needed Manage and maintain all brokerage databases Prepare, send, track and submit invoices for brokers externally and internally for commissions due in a timely manner Maintain annual transaction pipelines for commissions and transaction values Develop fluency in our internal software programs to track new, in-process and completed business and client deal flow Generate demographic reports, void analysis reports, maps and a variety of other types of reports, as requested Collaborate and coordinate with Marketing and GIS & Research departments to aggregate and prepare content for property marketing materials, market surveys, tour books, aerials, brochures, eblasts, pitches, signage and a variety of other materials Coordinate, manage, and maintain all material to ensure it adheres to current branding guidelines Update aerials, recent market activity and property information ensuring all information reflected is current on all platforms Communicate and circulate company templates, forms, and guidelines to brokers on team, as they are made available Assist NQ staff with department reports, projects and presentations as needed Coordinate holiday and client gifts as needed When TS is out of office, ensures brokers have proper backup coverage This role will be supporting brokers in one or more of the below brokerage areas: Prepare offering memorandum, investment summary and broker opinion of value packages Compile and send weekly lead capture reports Update and maintain team deal pipeline Proactively monitor and track inquiries about available properties, lease terms, clients, and active requirements to input inquiry/prospect information into CRM & transaction management software Land Coordinate with surveyors, title companies, engineers, MUDs, attorneys, lenders, buyers and sellers Coordinate closing documents Follow through on post-closing items Leasing (Development / Landlord Representation) Prepare lease abstracts Expediting leases through the internal lease flow process Coordinate with architecture to update site plans Tenant Representation / Third-Party Compile materials and market statistics for tour books (hard copy and digital) and real estate committee packages Research prospects as assigned (concept, major players and contact information) Preparation and submission of committee packages and REC materials Prepares and maintains client maps and aerials #J-18808-Ljbffr NewQuest
