Derm & Rejuvenation Institute is seeking a personable, motivated, and sales-minded Patient Experience & Treatment Sales Coordinator to join our physician-led practice.
This role is ideal for someone who enjoys consultative sales and wants to build a long-term career in healthcare. Medical experience is not required. We will train the right candidate to understand our services, explain treatment plans, prepare quotes, discuss memberships and service programs, coordinate scheduling, collect payments, and guide patients through the decision-making process.
We are looking for someone who enjoys educating people and selling services in a thoughtful, professional, and ethical way.
The right candidate will be comfortable:

About Derm & Rejuvenation Institute:
Derm & Rejuvenation Institute is a busy, physician-led multispecialty practice providing medical and cosmetic dermatology, ENT care, facial plastic surgery, and nonsurgical aesthetic treatments.
Our patients often come to us with questions, uncertainty, and important decisions to make. We believe they deserve accurate information, thoughtful guidance, and a clear understanding of their options.
Our goal is not to pressure patients. Our goal is to help them understand the treatment plan recommended by their physician, recognize the value of that plan, and feel confident taking the next step.
About the Role:
The Patient Experience & Treatment Sales Coordinator helps patients move from consultation to treatment.
The physician determines which services are medically or cosmetically appropriate. You will then help the patient understand the plan, review the financial investment, explain available service plans or memberships, address nonclinical concerns, and guide the patient toward scheduling.
This role combines:
- Patient education.
- Consultative sales.
- Membership enrollment.
- Treatment-plan presentation.
- Scheduling.
- Payment collection.
- Lead follow-up.
- Relationship management.
- Customer service.
- Practice growth.
You will not diagnose conditions, make independent clinical recommendations, or promise treatment outcomes.
You will be expected to sell—but to do so with honesty, professionalism, accuracy, and respect for the patient’s decision.
What You Will Be Trained to Do:
We will provide structured training in:
- Medical, surgical, and cosmetic services offered by the practice.
- Physician-recommended treatment pathways.
- Ethical consultative sales.
- Treatment-plan presentation.
- Membership and service-plan enrollment.
- Patient communication and relationship-building.
- Quoting, deposits, payment policies, and financing options.
- Lead management and patient follow-up.
- Objection handling and decision support.
- Procedure scheduling and coordination.
- Patient privacy and professional boundaries.
- Scheduling, payment, and patient-management systems.
- Sales tracking and performance improvement.
You do not need to arrive with medical knowledge. You do need to be eager to learn, willing to practice, and motivated to become excellent at the role.
Key Responsibilities:
Educate Patients and Present Treatment Plans:
- Guide patients through treatment plans established by their physicians.
- Explain treatment logistics, preparation, expected downtime, general limitations, pricing, and next steps using practice-approved information.
- Help patients understand what each service is designed to accomplish.
- Communicate the value of physician-led care clearly and confidently.
- Answer nonclinical questions and refer clinical questions to the appropriate team member.
- Present information in a way that is easy to understand and relevant to the patient’s goals.
- Help patients feel informed rather than overwhelmed.
Sell Services, Memberships, and Treatment Programs:
- Present treatment quotes with confidence and accuracy.
- Explain the value of completing the physician-recommended treatment plan.
- Educate appropriate patients about memberships, packages, maintenance programs, and ongoing care plans.
- Explain membership benefits, pricing, limitations, payment terms, and cancellation policies.
- Help patients understand how a service plan may support their goals over time.
- Ask patients whether they are ready to move forward.
- Complete enrollment, scheduling, and payment steps.
- Work toward defined goals for treatment conversion, membership enrollment, and collections.
- Recommend only services and programs that are appropriate within the physician-established plan.
Follow Up With Prospective Patients:
- Follow up with patients who have received a consultation or quote but have not yet scheduled.
- Maintain consistent contact by phone, text, and email.
- Ask thoughtful questions to understand why a patient has not moved forward.
- Address nonclinical concerns related to timing, cost, scheduling, or uncertainty.
- Help patients identify a realistic next step.
- Reconnect with patients who postponed treatment when appropriate.
- Maintain an organized follow-up pipeline so opportunities are not lost.
- Document each interaction accurately.
Coordinate Scheduling and Payments:
- Schedule medical, surgical, injectable, laser, body-contouring, and cosmetic procedures.
- Prepare accurate quotes and payment schedules.
- Review deposits, payment deadlines, financing options, and financial policies.
- Collect required deposits and payments.
- Confirm that consents, photographs, clearances, and documentation are completed on time.
- Coordinate with physicians, surgery centers, hospitals, anesthesia providers, and other members of the care team.
- Communicate instructions provided by the clinical team.
- Maintain accurate calendars, quotes, patient records, payment information, and follow-up notes.
Contribute to Practice Growth:
- Track consultations, quotes, pending decisions, deposits, scheduled procedures, and membership enrollments.
- Monitor your own follow-up activity and sales performance.
- Participate in coaching, role-playing, sales training, and performance reviews.
- Learn from missed opportunities and apply feedback.
- Identify common patient concerns and recommend improvements to communication materials.
- Help improve the patient journey from first inquiry through treatment.
- Contribute to a positive, accountable, and results-oriented team culture.

- Experience selling services, memberships, packages, or recurring plans.
- Experience in hospitality, luxury retail, fitness, wellness, beauty, or customer service.
- Experience using a customer relationship management or lead-tracking system.
- Experience meeting sales or conversion targets.
- Experience collecting payments or reviewing financing options.
- Experience in dermatology, plastic surgery, cosmetic medicine, ENT, or another healthcare setting.
