Project Coordinator

The Project Coordinator supports field, office, and procurement operations by coordinating labor, materials, equipment, purchasing activities, and project documentation for assigned construction projects. This role works closely with the Construction Manager, Project Manager, Procurement team, Material Receiver, and onsite management to ensure efficient jobsite operations, accurate reporting, timely material acquisition, and compliance with company and project requirements. Key Responsibilities Prepare, track, and submit daily Time & Material (T&M) tickets, ensuring accuracy, completeness, and proper documentation. Generate and maintain daily time reports from Traqspera, including all required supporting documentation. Maintain accurate daily headcounts of employees and equipment onsite to support billing and reporting. Enter signed T&M tickets and delivery tickets into Procore in a timely and accurate manner. Coordinate and process material and rental equipment orders in alignment with approved requisitions. Collaborate with the Material Receiver to confirm that all ordered materials are delivered to the jobsite as requested and properly documented. Monitor rental equipment and material deliveries, usage, and returns, resolving discrepancies as needed. Track and maintain an accurate inventory of all onsite equipment to ensure alignment with billing and reporting. Communicate regularly with the Project Manager regarding employee assignments, labor classifications, and phase coding. Participate in coordination meetings with the Construction Manager to review manpower, hours, job numbers, and upcoming workforce needs. Assist with manpower planning, including coordinating employee start dates, schedules, and project timelines. Support apprentice program compliance by tracking assignments, hours, ratios, classifications, and related requirements. Assist with resolving employee-related issues onsite, including layoffs, reassignment, and workforce transitions. Conduct jobsite walks with the Construction Manager to verify that reported labor and equipment usage aligns with actual work performed. Provide administrative and operational support to onsite management, jobsite personnel, and the main office. Respond to emails and operational requests in a timely and professional manner. Maintain a clean, organized, and professional office or jobsite work environment. Qualifications 3+ years of experience in construction coordination, project administration, or a related field preferred Experience working with construction management software (Procore preferred) Familiarity with time tracking systems such as Traqspera or similar platforms Strong understanding of construction processes, materials, equipment, and jobsite operations Proficiency in Microsoft Office (Excel, Outlook, Word) Strong organizational, communication, and problem-solving skills Ability to manage multiple priorities in a fast-paced environment Attention to detail and accuracy in reporting Strong communication and coordination skills across teams Accountability and ownership of assigned tasks Ability to work collaboratively with field and office personnel Time management and ability to meet deadlines Combination of field and office-based work Frequent interaction with jobsite personnel, vendors, and internal departments May require travel to job sites as needed #J-18808-Ljbffr Schwob Energy Services
