Job Title: Compensation and Benefits Coordinator

Job Description

The Compensation and Benefits Coordinator maintains and enhances the organization’s benefits and compensation programs in close collaboration with management and the broader HR team. This role focuses primarily on benefits administration, with additional responsibilities in compensation analysis, and is best suited for an experienced professional who can work independently without extensive training. The coordinator proactively identifies opportunities to streamline processes, improve data accuracy, and elevate the overall employee experience across health and welfare, retirement, and leave programs.

Responsibilities

  • Partner with management and the broader HR team to provide ongoing support for the organization’s compensation and benefits programs.
  • Coordinate employee benefits and retirement programs, including new enrollments, coverage changes, and ongoing vendor coordination.
  • Manage the monthly reconciliation of group insurance invoices against payroll records to ensure accurate enrollments and timely premium payments to benefit vendors.
  • Serve as the primary point of contact for employee inquiries related to pay, benefits, and 401(k), including plan provisions, enrollments, and life event changes.
  • Coordinate benefits and compensation components of new hire onboarding, including benefits enrollments and orientation sessions.
  • Support annual enrollment activities by assisting with employee education, system setup, and related administrative tasks.
  • Continuously identify and implement improvements to benefits and compensation processes, workflows, and systems to enhance efficiency and employee experience.
  • Maintain accurate, current employee compensation and benefits data within the HRIS, ensuring data integrity and consistency across systems.
  • Conduct job market pricing evaluations for exempt and non-exempt positions using survey data and internal benchmarks to support decisions on hiring, promotions, and retention.
  • Develop and distribute employee communications related to benefits and compensation, including regular benefits highlights and updates.
  • Facilitate employee leave of absence processes in partnership with HR and Safety teams and external vendors, including Short-Term Disability, Long-Term Disability, FMLA, Workers’ Compensation, and COBRA, ensuring compliance, tracking, and proper documentation.
  • Support compliance and reporting requirements, including ACA reporting, COBRA administration, 401(k) audits, and non-discrimination testing.
  • Partner with brokers and benefits providers to resolve issues related to benefits administration, eligibility, and enrollments.
  • Collaborate with HR and field leaders to promptly address benefits and compensation questions and provide clear guidance.
  • Leverage HRIS and other data sources to extract, transform, and visualize data, ensuring accuracy and consistency in all reporting and analytics.
  • Maintain a high level of confidentiality and integrity when handling sensitive employee data and compensation information.
  • Perform other duties as required and assigned to support the HR function and total rewards strategy.

Essential Skills

  • Bachelor’s degree in human resources, business administration, finance, or a related field, or equivalent relevant experience.
  • At least 3 years of progressive experience in a benefits administration role, including health and welfare, retirement, and leave programs.
  • Experience focused on benefits administration with additional exposure to compensation or total rewards.
  • Proven experience working with HRIS platforms and reporting tools, including data entry, maintenance, and reporting.
  • Strong analytical skills with advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and complex formulas.
  • Thorough working knowledge of employee benefits policies and practices, including health, welfare, retirement, and leave programs.
  • Solid understanding of applicable federal and state regulations, including the Affordable Care Act (ACA), ERISA, COBRA, FMLA, and Department of Labor (DOL) requirements.
  • Demonstrated ability to manage benefits enrollments, changes, and vendor coordination in a multi-program environment.
  • Strong written and verbal communication skills, with the ability to explain complex benefits and compensation topics in clear, accessible language.
  • Effective interpersonal skills with the ability to build positive working relationships at all levels of the organization.
  • Proven project management skills, including the ability to lead or support cross-functional initiatives through to execution.
  • High attention to detail and accuracy, especially when working with benefits data, payroll information, and regulatory reporting.
  • Ability to thrive in a fast-paced, change-oriented environment and manage multiple priorities simultaneously.
  • Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.

Additional Skills & Qualifications

  • Experience in compensation analysis or total rewards beyond core benefits administration is strongly preferred.
  • HR background with a primary focus on benefits and compensation rather than generalist responsibilities.
  • Comfort working in a role that requires minimal training, with the ability to independently interpret and apply benefits and compensation policies.
  • Experience with HRIS platforms; specific system experience is valued but not required, as long as the candidate can quickly learn new systems.
  • Experience working with multi-state benefits regulations and practices is a strong plus.
  • Ability to extract, transform, and visualize HR and benefits data for reporting and decision-making purposes.
  • Strong organizational skills, with the ability to manage recurring processes such as invoice reconciliation, audits, and annual enrollment.
  • Capability to develop clear, engaging employee communications related to benefits, compensation, and total rewards.
  • Openness to candidates without a formal degree who possess substantial, relevant benefits and compensation experience.

Work Environment

The role follows a Monday through Friday schedule, typically from 8:00 a.m. to 5:00 p.m., providing a structured workday. The position operates in a hybrid work environment, with two designated in-office days each week, typically on Monday and Thursday, and remote work on the remaining days. The dress code is business casual, allowing for jeans paired with a neat, professional top. The organization is in a growth phase, including expansion through acquisitions, which creates opportunities for professional development and career progression within a dynamic HR and total rewards function. The role includes close collaboration with HR team members, field leaders, brokers, and benefits vendors, and involves frequent use of HRIS platforms, data tools, and standard office technology in a professional office setting.

The pay range for this position is $58000.00 - $69000.00/yr.
