Executive Assistant to the Chief Director of Special Education/Student Services

The Executive Assistant to the Chief Director of Special Education and Student Services provides high-level confidential, administrative, organizational, and clerical support to the Chief Director and the Office of Special Education and Student Services. The position supports departmental compliance with applicable District policies and procedures and federal and Pennsylvania requirements, including, as applicable, the Individuals with Disabilities Education Act (IDEA), Family Educational Rights and Privacy Act (FERPA), Section 504 of the Rehabilitation Act, Chapter 14 of the Pennsylvania Code, Chapter 15 of the Pennsylvania Code, and Pennsylvania Department of Education (PDE) requirements. This is an administrative support position. The Executive Assistant does not independently make decisions regarding student eligibility, evaluations, IEP programming, educational placement, disciplinary manifestation determinations, or the provision of special education and related services.

Minimum Qualifications

• High school diploma or equivalent required.
• Associate degree in business administration, office administration, education, human resources, public administration, or a related field preferred.
• Bachelor's degree preferred but not required.

• Minimum of three (3) years of progressively responsible administrative, executive assistant, secretarial, or office support experience preferred.
• Experience supporting a senior-level administrator or department director strongly preferred.
• Experience working in a public school District, intermediate unit, educational organization, governmental agency, or similar environment preferred.
• Experience working with special education, student services, confidential student records, or compliance-related documentation strongly preferred.

• Ability to manage multiple priorities and deadlines simultaneously.
• High degree of professionalism, discretion, judgment, and confidentiality.
• Strong attention to detail and accuracy.
• Ability to work independently while following established procedures.
• Ability to maintain complex electronic and physical records.
• Proficiency with Microsoft Office and/or Google Workspace.
• Ability to learn District student information, special education, records-management, HR, financial, and workflow systems.
• Ability to create and maintain spreadsheets, trackers, databases, calendars, reports, and presentations.
• Ability to communicate effectively with families, administrators, teachers, support staff, attorneys, advocates, agencies, and community partners.
• General knowledge of IDEA, FERPA, Section 504, Chapter 14, Chapter 15, and PDE special education requirements, or the ability to acquire such knowledge through training.
• Ability to understand the distinction between administrative support responsibilities and decisions reserved for appropriately qualified professional and administrative personnel.

Physical and Work Requirements

• Ability to perform standard office and computer-related functions for extended periods.
• Ability to communicate effectively in person, electronically, virtually, and by telephone.
• Ability to organize, retrieve, and maintain electronic and physical records.
• Ability to occasionally lift and transport office materials consistent with District requirements.
• Regular and predictable attendance is an essential function of the position.
