Position Summary

We are seeking a professional, organized, and customer-focused Administrative Assistant to support daily business operations. This role serves as a key point of contact for customers, helping to manage incoming sales inquiries, coordinate project information, prepare quotes, and ensure seamless communication between clients and the owner.

The ideal candidate is detail-oriented, personable, and capable of juggling multiple tasks while maintaining a high level of accuracy and professionalism.

Key Responsibilities

• Manage the owner's calendar, appointments, and scheduling.
• Answer and manage incoming sales calls and customer inquiries. 
• Gather customer requirements and coordinate information for estimates and proposals. 
• Prepare and send quotes based on established pricing and project details. 
• Follow up with customers regarding quotes, projects, and ongoing communications. 
• Handle emails, phone calls, and correspondence. 
• Coordinate communication between customers, vendors, and internal team members. 
• Maintain accurate customer, sales, and project records. 
• Assist with project tracking and administrative support. 
• Support special projects and other duties assigned.

Qualifications

• Previous administrative, customer service, sales support, or executive assistant experience preferred. 
• Strong communication and customer service skills. 
• Ability to confidently handle phone inquiries and represent the company professionally. 
• Excellent organizational and multitasking abilities. 
• Proficiency with Microsoft Office (Outlook, Word, Excel, Teams). 
• Strong attention to detail and ability to work independently. 
• Ability to maintain confidentiality and professionalism. 
• Experience preparing estimates, proposals, or quotes is a plus.
