Executive Assistant

The Larko Group

A highly visible organization is seeking a polished and proactive Executive Assistant to provide day-to-day support in a fast-moving, entrepreneurial environment. This is an ideal opportunity for an administrative professional who thrives on organization, loves managing complex calendars and logistics, and enjoys being the go-to person who keeps everything running efficiently behind the scenes.

This role will be heavily focused on scheduling and coordination, managing ever-changing calendars, travel arrangements, meetings, and personal logistics while serving as a trusted partner. The ideal candidate is resourceful, detail-oriented, adaptable, and eager to grow within a dynamic organization.

Responsibilities

  • Manage and maintain an extremely active and ever-changing calendar, prioritizing meetings and resolving scheduling conflicts.
  • Coordinate domestic and international travel arrangements, itineraries, transportation, and accommodations.
  • Schedule and organize meetings, conference calls, events, and appointments across multiple time zones.
  • Assist with meeting preparation, including agendas, presentations, and follow-up materials.
  • Support day-to-day administrative operations and help keep leadership organized and on schedule.
  • Handle personal assistant responsibilities, including reservations, appointments, errands, and household-related coordination as needed.
  • Serve as a professional point of contact for internal and external stakeholders.
  • Track action items, deadlines, and priorities to ensure seamless follow-through.
  • Assist with special projects and provide additional administrative support to leadership when needed.

Ideal Experience

  • Bachelors degree preferred.
  • 3+ years of administrative, scheduling, coordination, or assistant experience.
  • Exceptional organizational skills and strong attention to detail.
  • Ability to juggle multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • High level of professionalism, discretion, and confidentiality.
  • Resourceful, proactive, and willing to take initiative.
  • Flexibility to occasionally support needs outside standard business hours.
