Office Administrator Job Summary: The Orange County Campus Office Administrator provides operational, administrative, and project support to the Orange County Campus Director and staff, as well as faculty and staff affiliated with the Sport Management program. The Office Administrator is responsible for a broad range of administrative duties, including database management, facilities management, and customer service for current and prospective students, faculty, staff, and alumni. This individual will also assist with admission and enrollment services for students and their families, as well as event coordination. The role reports to both the Orange County Campus Director and the Associate Director of the Master of Science in Sport Management program (Southern California). This is a 30‑hour per week, benefits‑eligible position. Employment Type: Part‑time (30 hours per week) Compensation: $28 per hour Responsibilities Campus Support (50%) Primary reception functions: answering phones, greeting visitors, scheduling appointments, checking and routing mail, and other delegated duties. Cleaning, set‑up, and maintenance of all campus spaces, equipment, and supplies, including whiteboards, chairs, tables, podiums, and lighting. Maintaining and monitoring inventory of marketing, classroom, and office supplies. Assisting with repair and maintenance coordination. Referring students and faculty to appropriate departments for assistance. Monitoring and posting items to campus bulletin boards. Participating as an active team member to meet campus enrollment goals. Providing general program information to prospective students and visitors. Receiving, reviewing, responding to, or redirecting phone, email, or in‑person messages as appropriate. Collecting statement of interest (SOI) data and entering information into enrollment systems. Scheduling appointments with new faculty for site orientation and I‑9 documentation for Human Resources. Assisting students and faculty with facilities and technology requests. Assisting in the planning and execution of campus events, including orientations and student engagement events, with tasks such as ordering catering, researching vendors, event set‑up, and cleanup. Assisting the campus director with student and faculty lists, including rosters, parking permits, and emergency contact information. Updating internal and external forms as needed. Providing administrative support for campus faculty and staff. Actively participating in scheduled team meetings. Contributing to social media and marketing campaigns. Performing other duties as assigned by the Campus Director. Sport Management Program Support (50%) Providing administrative and campus support to faculty, staff, and students. Covering office hours during class nights and events for the Sport Management program. Assisting with the development and implementation of the fiscal year’s student recruitment, outreach, and marketing plans. Attending off‑campus admission recruiting events. Working directly within enrollment management software (Slate) to conduct application outreach and manage inquiries from external marketing partners. Conducting weekly phone calls with prospective students and unsubmitted applicants. Assisting in managing program events on the university website and Slate platforms. Assisting with student registration and maintaining academic records. Responding to phone calls, text messages, and emails from prospective students, current students, alumni, and industry partners. Coordinating special events such as new student orientations, on‑campus events, and alumni socials. Creating outgoing email communications, internship postings, and job listings. Performing other duties as assigned by the Associate Director for the Master of Science in Sport Management program. Qualifications Associate’s degree and equivalent work experience (Bachelor’s degree preferred). Three years of administrative office experience, preferably in an academic environment. Exceptional customer service experience. Excellent organizational, interpersonal, and oral/written communication skills. Some marketing and sales experience is helpful. Proficiency with Google Suite (Calendar, Docs, Sheets, Slides). Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint). Ability to work independently, establish priorities, and meet deadlines when the office administrator may be the sole employee on campus. Ability to analyze and interpret data. Proven team‑working ability and experience working with a diverse community. Ability to work some evenings and weekends. Willingness and knowledge to troubleshoot minor technology issues. Physical ability to lift 30+ pounds and sit or stand for long periods, bend, and move furniture. Understanding of and commitment to support the university’s mission, vision, and values.
