The Position: The Client Service Coordinator is responsible for delivering outstanding customer service and supporting the Property Management Office to provide seamless day to day operations. You will report to the Director. The successful candidate will be organized, have an eye for detail and a passion for customer service. Key Responsibilities: Hospitality/Leadership: Be the first point-of-contact for customers and vendors and route requests and inquiries, including answering the PMO phone, routing emails, and greeting visitors Manage customer requests using our work order system and coordinate with building operations team Assist new customers with onboarding procedures Provide a warm and welcoming experience for customers and visitors Maintain a high level of customer satisfaction, responding to customer needs in a timely manner Actively support the Property Management team in fostering long lasting relationships with customers Operations: Provide support to ensure smooth operations of the Property Management Office (PMO) Process all Contractor Access Forms (CAFs) in coordination with Property Managers, Chief Engineer, Tenants and General Contractors Maintain certificates of insurance for contractors, customers, and vendors Update and distribute daily freight and dock schedule (activity/security memo) Draft customer notifications in advance for Property Managers' approval and distribution Communicate building updates to customers Update all customer & staff directories, emergency contact lists, building guides, and manuals Update office digital and paper files Coordinate incoming and outgoing mail, overnight deliveries, and courier service Assist property management team with projects and communication Prepare monthly automated rent documents, and arrears updates Create and maintain customer billables spreadsheet based on lease language Monitor, dispatch, and close work orders for billing in accordance with our AR schedule Respond to customer account statement inquiries as necessary Assist in processing invoices in a timely manner, confirming charges against existing contracts, budgets and proposals Assist with coordination and preparation of building tours Set up and maintain new building accounts, organize, and order office supplies for the Property Management Office as necessary Periodic inspections of common areas, including fitness center, locker rooms, lobbies, and exterior grounds Conduct daily staff meetings Set up all auto-debits for utilities and updates to contract matrix monthly Ability to walk to and from the multiple buildings in Mission Rock About You: Qualifications: 1-3 years of experience in commercial real estate or hospitality industry Bachelor's degree Proficient in Microsoft Office or equivalent Ability to understand and communicate in English, verbally and in writing Critical Competencies for Success: Thrive in an innovative and fast-paced environment Demonstrate strong interpersonal skills Provide exceptional customer service Adaptable and flexible with can-do attitude *Onsite presence is required for this position. The base compensation range for this role is $55,000 - $65,000. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Tishman Speyer employees.This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Tishman Speyer's Los Angeles team, as we've considered factors specific to this geography.
