We are looking for a skilled Administrative Assistant to assist in managing our office workflow, including purchases, sales, orders, and logistics. As part of a small office team, you will support budgeting, estimating, scheduling, and coordinate Zoom meetings. Experience with QuickBooks and the construction industry is a plus, offering opportunities for cross-training in estimating and budgeting.
Responsibilities
- Manage office workflow including purchasing, sales, orders, and logistics
- Assist estimator by gathering information to expedite bidding
- Verify daily time sheets and enter data into payroll system
- Organize and assemble project documents for field personnel
- Coordinate logistics of materials and inventory management
- Handle filing, phone calls, and creation of purchase orders
- Support scheduling, budgeting, and Zoom meeting coordination
Required Qualifications
- Proven administrative experience with strong attention to detail
- Construction industry knowledge
- Basic bookkeeping and accounts payable/receivable understanding
- Proficiency in English and MS Office Suite
Preferred Qualifications
- 1+ years of administrative support experience
- Associate Degree in Business Administration or related field
- Experience with QuickBooks and construction management software
