OR Bachelor's degree and five years of related experience Position Summary The Program Coordinator provides advanced administrative, operational, and programmatic support for the School's research and outreach missions. The position serves as the primary administrative coordinator supporting the Associate Dean for Research and provides operational support to the Associate Dean for Outreach. Approximately 80% of the position's effort supports research administration, faculty support, strategic planning, assessment, reporting, and special projects under the direction of the Associate Dean for Research, while 20% supports outreach planning, communications, data collection, reporting, continuing education activities, and operational initiatives under the direction of the Associate Dean for Outreach. The incumbent performs and oversees a broad range of administrative functions and business processes that support faculty, staff, students, research programs, outreach initiatives, and School leadership. Responsibilities include project coordination, systems administration, reporting and assessment activities, strategic planning support, faculty evaluation support, database management, communications, stakeholder engagement, space planning, and operational process development. - Coordinate administrative activities supporting the School's research enterprise and faculty research programs.
- Serve as a point of contact for faculty, staff, university administrative offices, and external stakeholders regarding the School's research administration and operational processes.
- Maintain and administer databases and tracking systems related to faculty scholarship including grants, publications, presentations, awards, and other activities.
- Coordinate faculty recognition and award nomination programs, including preparation of nomination materials, supporting documentation, correspondence, and deadline management.
- Support administration of faculty development programs such as the Wheatly Faculty Interdisciplinary Seed Grant Program and other internal research support programs.
- Provide administrative and operational support along with coordination of annual progress reports, final reports, funding documentation, and other reporting requirements for formula-funded programs, including the School's McIntire-Stennis and Renewable Resources Extension Act projects.
- Develop and maintain administrative procedures, documentation, and operational workflows supporting School activities.
35 Duties/Responsibilities Strategic Planning, Assessment, Data Management, and Reporting
- Collect, validate, analyze, and interpret institutional, faculty, research, and programmatic data.
- Perform database administration and data management activities supporting research, outreach, strategic planning, and assessment functions.
- Prepare recurring and ad hoc reports supporting annual reports, strategic planning, accreditation, budget planning, assessment activities, and leadership decision making.
- Develop dashboards, executive summaries, briefing materials, presentations, and performance reports for School leadership.
- Coordinate annual faculty activity and productivity assessment processes by collecting, validating, organizing, and summarizing information related to publications, grants, presentations, mentoring activities, awards, outreach activities, and other professional accomplishments.
- Prepare faculty productivity summaries, supporting analyses, and reporting materials used by School leadership during annual faculty evaluation processes.
- Compile and analyze data from institutional reporting systems to support faculty evaluations, strategic planning, faculty recognition, and resource allocation decisions.
- Monitor progress toward School strategic goals and performance indicators and prepare assessment reports for leadership review.
25 Duties/Responsibilities Project Coordination, Space Planning, and Operational Support
- Coordinate special projects, operational initiatives, and strategic assignments under the direction of the Associate Dean for Research.
- Support School space planning activities, including coordination of office, laboratory, graduate student, postdoctoral, visiting scientist, and research personnel assignments.
- Work with the Associate Dean for Research and the Director of Lands and Facilities to coordinate facilities-related requests, office moves, equipment needs, and operational logistics involving faculty and staff.
- Develop project timelines, communication plans, tracking systems, and implementation schedules.
- Identify operational challenges and recommend solutions that improve administrative efficiency and effectiveness.
20 Duties/Responsibilities Outreach Program Administration, Reporting, and Communications
- Provide administrative and operational support to the Associate Dean for Outreach.
- Coordinate outreach initiatives, conferences, workshops, stakeholder meetings, partnerships, and special projects.
- Manage outreach-related records, databases, communications, and reporting activities.
- Coordinate and support Continuing Education programs and activities, including participant registration, activity tracking, website-based payment processing coordination, documentation management, and reporting of program outcomes in coordination with the Continuing Education Program Director.
- Assist with administration, maintenance, testing, user support, and reporting associated with the School's outreach activity reporting application used in annual faculty evaluation processes.
- Collect, validate, organize, and maintain outreach activity data used in faculty annual evaluations, strategic planning initiatives, and performance assessment reporting.
- Coordinate compilation and submission of Renewable Resources Extension Act reports, including collection of information from faculty and staff, verification of supporting documentation, preparation of reports, and maintenance of supporting records.
- Prepare outreach-related reports, presentations, briefing materials, correspondence, and communication resources.
- Coordinate communications among faculty, agency partners, community stakeholders, commodity groups, and University offices.
- Monitor outreach performance metrics and support program evaluation and strategic planning efforts.
- Identify operational challenges and recommend solutions that improve administrative efficiency and effectiveness.
