Reports To: Senior Pastor
Work Schedule: Sunday 7:30 a.m.–2:30 p.m. is mandatory, plus four additional weekday workdays at seven hours per day, for a total 35-hour work week.
Travel: Varies based on ministry and leadership needs.

About the Role

Greater Allen A.M.E. Cathedral of New York is seeking a highly organized, discreet, and mission-driven Executive Assistant to the Senior Pastor. This trusted role serves as a high-level partner to the Senior Pastor, providing executive administrative leadership, strategic coordination, communication support, and ministry-focused service in a dynamic, fast-paced faith-based environment.

The ideal candidate will bring Executive Assistant precision, Chief of Staff awareness, strong relational intelligence, and a servant-leader mindset to support the effectiveness, efficiency, and impact of the Senior Pastor’s office.

Key Responsibilities

· Manage the Senior Pastor’s complex calendar, including meetings, preaching engagements, events, and travel.

· Prioritize requests and coordinate meeting logistics, agendas, materials, and follow-up actions.

· Serve as a primary liaison between the Senior Pastor and staff, members, ministry leaders, and external stakeholders.

· Manage and screen communications, including emails, calls, correspondence, and other requests requiring discretion.

· Draft, review, and distribute internal and external communications on behalf of the Senior Pastor.

· Support strategic initiatives, special projects, reports, presentations, and ministry priorities.

· Coordinate logistics for church services, conferences, executive meetings, guest ministry visits, hospitality, and special events.

· Maintain organized systems for records, documents, workflows, travel arrangements, itineraries, and accommodations.

· Build positive relationships with church leadership, members, community stakeholders, dignitaries, and ministry guests.

· Maintain strict confidentiality, professionalism, and alignment with the mission, vision, and values of the church.

Qualifications

· Bachelor’s degree required; Business Administration, Ministry, Communications, or a related field preferred.

· Minimum of five years of executive-level administrative experience, preferably supporting senior leaders or C-suite executives.

· Experience in a church, nonprofit, or ministry environment strongly preferred.

· Proven ability to manage high-level calendars, projects, priorities, confidential information, and sensitive relationships.

· Excellent verbal and written communication skills with strong professional judgment and discretion.

· Strong organizational skills, attention to detail, follow-through, and ability to manage competing priorities.

· Demonstrated emotional intelligence, hospitality mindset, and ability to work with diverse stakeholders.

· Ability to work independently and collaboratively in a fast-paced, mission-driven environment.

Technical Skills

· Required proficiency with Microsoft 365 Office Suite, including Word, Excel, PowerPoint, Outlook, Teams, and Copilot.

· Required proficiency with Google Workspace, including Docs, Sheets, Calendar, and Drive.

· Familiarity with project management tools such as Asana, Trello, Monday.com, Zoom, or similar platforms.

· Familiarity with virtual communication platforms such as Zoom and Microsoft Teams.

· Experience with church management software, social media platforms, file-sharing systems, and scheduling or event tools is preferred but not required.

Work Environment and Physical Requirements

This position is office-based with occasional travel or off-site support. The environment is fast-paced, high-demand, mission-driven, and spiritually enriching, with regular interaction with church leadership, members, external partners, ministry guests, and dignitaries. Flexibility for evenings, weekends, special events, and travel may be required. Physical demands are generally light and include frequent sitting, handling, fingering, and reaching, with occasional standing, walking, bending, squatting, kneeling, and lifting up to 10 pounds.
