ROLE OVERVIEW This role owns accounts payable at Photon Kinetics - processing vendor invoices, reviewing employee expense reports, and supporting weekly payment runs. Accuracy, follow-through, and vendor relationships are the core of the job. If something is in the AP queue, it gets handled correctly and on time. Administrative and office coordination duties round out the position: answering phones, managing office supplies, coordinating facilities, and keeping the company calendar current. This is a role for someone who takes ownership of their workload and doesn't need to be chased. HR experience is a genuine plus. If the right candidate brings payroll processing, benefits administration, or recruiting experience, those functions can be folded in. But AP competency comes first - HR is a secondary benefit, not a requirement. WHAT YOU WILL ACHIEVE IN YEAR ONE AP Process Running Clean : All vendor invoices are entered, tracked, and paid accurately and on schedule. Discrepancies are caught and resolved before they become problems. Expense Reporting Under Control : Employee expense reports are reviewed and processed consistently, with clear communication back to submitters when corrections are needed. Office Administration Humming : Phones, mail, supplies, facilities coordination, and the company calendar are handled reliably - other departments don't have to think about it. KEY RESPONSIBILITIES Accounts Payable Prepare and enter vouchers for invoices from all vendors Review and process employee expense reports Assist with weekly payment processing runs Maintain daily contact with vendors regarding invoice payments and account status Resolve invoice discrepancies with internal departments and vendors Office & Administrative Support Answer company phones and communicate professionally with the public on behalf of Photon Kinetics Distribute mail and faxes Manage and replenish office supplies Coordinate facility services Maintain the company calendar HR Support (If Applicable) Manage recruitment process including job postings, interview scheduling, and new hire onboarding Maintain and update employee records in the HR database with accuracy and confidentiality Enroll and maintain employees in company benefit programs; handle changes and inquiries Prepare and process biweekly and monthly payroll Compliance & Quality Comply with all Photon Kinetics quality policies, procedures, and work instructions applicable to this position Perform other work-related duties as required REQUIRED QUALIFICATIONS Minimum two years of hands-on accounts payable or general accounting experience Demonstrated ability to process high volumes of data accurately and on time Strong organizational skills - able to manage multiple inputs and deadlines without dropping things Clear, professional communication skills, both written and verbal, for vendor and internal interactions Professional demeanor in person and on the phone PREFERRED QUALIFICATIONS Associate's degree or higher in Accounting, Finance, or a related field Experience with payroll processing (biweekly and/or monthly) HR experience including recruiting, onboarding, or benefits administration Familiarity with HR databases or HRIS systems WHY THIS ROLE IS DIFFERENT This is a real ownership role - AP, expense reporting, and office administration are yours to run, not assist with Small team means your work is visible and your competence matters immediately If you have HR skills, there's room to use them - but you won't be set up to fail by being hired for a function that isn't your strength WHY JOIN PHOTON KINETICS You'll work on technologies that enable the next wave of AI and data center innovation.
