Our client is a well-established professional services firm in Boston seeking a highly polished and hospitality-minded Workplace Experience Coordinator to join their growing team.

This is a unique opportunity for someone who enjoys creating an exceptional in-office experience and thrives in a fast-paced environment. The role will have a strong focus on meeting and guest experience, while also providing general administrative and office operations support.

Key Responsibilities

• Coordinate the in-office meeting experience from start to finish, including room setup, guest arrival, food and beverage, and day-of logistics
• Welcome and assist visitors, ensuring a professional and highly personalized experience
• Coordinate with Executive Assistants and internal teams to understand meeting requirements and ensure everything is prepared in advance
• Monitor meetings throughout the day and troubleshoot any issues that arise
• Reset conference rooms and common areas between meetings
• Coordinate catering, refreshments, and other hospitality needs
• Assist with office operations, including mail, inventory, supplies, expenses, and general administrative tasks
• Provide support for internal events, special projects, and other office initiatives
• Assist with marketing-related administrative projects as needed
• Work closely with the broader administrative team to ensure a seamless day-to-day office experience
• Jump in wherever needed with a true " no job is too small " mentality

What We're Looking For

• Previous experience in hospitality, workplace experience, office coordination, events, or a related field
• Exceptional customer service and interpersonal skills
• Professional, polished, and welcoming demeanor
• Highly organized with excellent attention to detail
• Ability to multitask and prioritize in a busy, high-volume environment
• Strong communication and follow-through skills
• Comfortable working independently while also being a collaborative team player
• Proactive, resourceful, and willing to pitch in wherever needed
• Comfortable with an early morning schedule and working onsite five days per week
