Location: Syosset, NY
Schedule: Monday – Friday, 8:30 AM – 5:00 PM (onsite)
Compensation: Up to $21/hour
Employment Type: Temp-to-Hire

Position Overview

The Client Coordinator serves as a central point of contact, responsible for managing and responding to inquiries related to independent medical examinations and case coordination. This role requires a high level of professionalism, communication, and attention to detail, as it supports interactions with clients, medical professionals, and internal teams.

Operating in a fast-paced, service-driven environment, the Client Coordinator ensures all case-related information is accurately maintained, inquiries are resolved efficiently, and service expectations are consistently met.

Key Responsibilities

• Serve as the primary point of contact for inbound inquiries from clients, medical providers, and representatives via phone, email, and internal systems
• Coordinate scheduling activities, including appointment bookings, cancellations, and rescheduling of independent medical examinations
• Accurately enter, update, and retrieve case and client information within internal systems and databases
• Verify that all client records, guidelines, and case details are current and properly documented
• Partner with internal teams to ensure timely resolution of inquiries and efficient case processing
• Maintain clear and consistent communication across all stakeholders to support a seamless service experience
• Ensure all activities are conducted in compliance with confidentiality standards and regulatory requirements (including HIPAA)
• Perform additional administrative and operational duties as assigned

Qualifications

• High school diploma or equivalent required
• Minimum of 1 year of experience in a clerical, administrative, or customer service role
• Prior experience in a medical office, insurance environment, or call center strongly preferred
• Strong communication skills with the ability to interact professionally and effectively with a variety of stakeholders
• Highly organized with strong attention to detail and accuracy
• Proficient in Microsoft Office (Word, Outlook, Excel) and general computer systems
• Ability to manage multiple priorities in a fast-paced, deadline-driven environment
• Demonstrated ability to work both independently and collaboratively
• Understanding of HIPAA regulations and commitment to maintaining confidentiality
