Office Coordinator

$22 per hour

Alliance Française de St. Louis

The Alliance Française de St. Louis is the premier French language and Francophone cultural center in the St. Louis region. Founded in 1964, we are a not-for-profit 501(c)(3) organization incorporated in the State of Missouri and dedicated to promoting French language and Francophone cultures within our local community. Located at 930 N. McKnight Road, St. Louis, MO 63132, the Alliance Française offers French language courses for all levels, official DELF/DALF examinations, cultural and community events celebrating the Francophone world, and member amenities including a lending library of French books, DVDs, and CDs. The Alliance’s office is open Mo-Thu 9am-5pm and Sat 9am-12pm. Classes are offered Mo-Thu all day and Sat morning. Off-Site tutoring can take place any day and time. Depending on students’ availability. Position Overview The Office Coordinator plays a key operational role in supporting the daily administrative, educational, and organizational functions of the Alliance Française. Working closely with the Executive Director and the entire team, this position ensures smooth office operations, accurate administrative systems, and effective coordination across departments. The Office Coordinator reports to the Executive Director. Benefits & Pay This is an hourly paid position with no guaranteed benefits beyond your hourly pay at the following pay rates:

  • 22 per hour for administrative hours
  • 25 per hour for teaching group classes and on-site tutoring
  • 25 per hour for translation work
  • 35 per hour for off-site tutoring
All employees are eligible for a discretionary semi-annual bonus, calculated based on hours worked and other established criteria. The bonus amount depends on the Alliance’s financial performance over the prior six‑month period, is not guaranteed, and does not replace or offset your regular hourly pay. Work Hours Estimate of 29h of admin per week, to which you can add teaching hours. Work Monday through Thursday 12:00PM – 6:15PM + Saturdays 9:00AM-12:30pm. Flexible hours depending on teaching hours, occasional evenings, 8pm at the latest if you teach from 6pm-8pm. Qualifications Experience in an administrative role (required), including data entry, managing payments, etc. Excellent organization and time management skills Customer service skills, friendly attitude Experience in teaching (preferred) Experience in grants writing (preferred) Comfortable using a computer independently The candidate must be eligible to work in the U.S. No sponsorship will be provided. The selected candidate will undergo a background check.

RESPONSIBILITIES

Please note that not all those responsibilities are due every week. Some of these missions are only expected periodically. Administrative Operations & Office Management Maintain and update memberships and administrative records using our software (Kiwiversity & Excel). Support the Team in developing and maintaining up-to-date SOPs and internal guidelines. Oversee phone message collection and ensure timely follow-up. Maintain employment records, including building key and security passcode distribution. Monitor general office organization and building conditions, including cleanliness and operational readiness. Manage office, kitchen, and facility supplies and communicate purchasing needs to the Executive. Director, complete a monthly class book inventory. Coordinate volunteer recruitment, onboarding, scheduling, and training. Training includes where to find items/files, how to answer the phone, how to process payment and write a receipt, answering questions about classes, and taking messages. Education Program Administration Manage intake and registration of new prospects, students, members, and classes. Update classes levels, dates, ID, and registered students each term. Schedule adjustments. Recruitment & Human Resources Support Assist with recruitment of teachers and volunteers. Development & Grants Support In coordination with the Executive Director and Development Committee: Assist with grant writing and development opportunities. (Research new grants and funding opportunities). Support development committee activities and contribute operational ideas when appropriate. Event & Communication Support Maintain accurate signage in the building. Verify completeness and accuracy of information posted online. Teaching Responsibilities Teach assigned classes, tutoring and or provide substitute instruction as needed. These hours come in addition to administrative hours and there is no limit on the number of hours.
