Position Summary We are seeking an energetic, organized, and adaptable Operations & Business Support Specialist to provide cross-functional support across day-to-day operations, customer care, digital marketing, and executive administration. Working closely with executive leadership, this role offers direct involvement in business operations within a rapidly growing medical device manufacturer. Key Responsibilities 1. Order Management & EDI Coordination Manage end-to-end order processing across direct, retail, and distributor channels (e.g., Shopify, McKesson, CVS). Oversee EDI workflows including order acknowledgments, shipment notifications, and invoicing. Maintain accurate inventory data and manage Amazon FBA stock levels, pricing, and shipment creation. Handle primary incoming communications, customer inquiries, and general sales support. Generate routine sales reporting and dashboards Analyze sales trends to assist with accurate planning and forecasting Assist with routine financial administration, including accounts receivable tracking and invoicing. Maintain regular alignment with accounting, warehouse logistics, and field sales teams. 3. Regulatory & Quality Compliance Support Collect and log Post-Market Surveillance (PMS) feedback from consumer platforms and professional medical accounts. Maintain labeling documentation to current standards. 4. Marketing & Digital Communications Support social media execution (Facebook, Instagram, LinkedIn) across professional and consumer brands. Assist in basic graphic creation, caption writing, and post scheduling via management tools. Maintain website content and manage marketing collateral 5. Strategic Projects & Executive Support (As Needed) Trade Shows & Events: Assist with logistics, booth materials, lead retrieval, vendor payments, and travel arrangements. Audit & Compliance Support: Provide documentation prep and administrative assistance during internal or external audits. Special Projects: Support international distribution documentation, vendor/freelancer management, and production run planning alongside management. Qualifications Bachelor’s degree in business, marketing, or related field. Entry level position; 0 – 3 years of relevant work experience. Proficient with Microsoft Office (Excel, Word, PowerPoint). Excellent communication and time management skills. Familiarity with Shopify, EDI systems, Amazon Seller tools, and Canva is a plus. Why Join Us?
