Job Overview Assistant Property Manager – Full‑time, Non‑Exempt. Compensation $31.25 per hour plus bonus. Weekdays 8:30 am–5:30 pm; evenings and weekends may be required for resident tours and events. Responsibilities Sales & Prospect Management Establish new relationships and maintain communication to identify prospect needs and close sales. Tour visitors, show apartments, and encourage qualified prospects to apply. Assist with the application process. Receive and manage incoming calls. Ensure model apartments and vacant units are ready for showings. Follow up on leads regularly. Prepare packets, materials, and paperwork for move‑ins or move‑outs. Tend to units to meet or exceed budgeted occupancy. Prepare and send required weekly or monthly reporting. Marketing Planning Achieve occupancy goals through initiatives, campaigns, programs, and events. Design and develop marketing plans in accordance with the budget in collaboration with the Property Manager; execute the plan. Assist in preparing advertising and marketing materials such as letters, newsletters, flyers, brochures, lease, and move‑in packages. Conduct outreach marketing in the surrounding community and establish relationships with local business partners. Assist in branding the property through marketing campaigns and on‑site promotional events. Recommend improvements to marketing and leasing programs. Research & Strategy Conduct research on new and existing market communities for budgeting and operations. Shop, evaluate, and prepare quarterly market studies based on competitive properties, analyzing marketability of unit rates, advertising, signage, decor, amenities, and curb appeal. Social Media Use social media tools to increase exposure, brand awareness, and client loyalty. Resident Management & Service Assist residents with work orders, key access, and emergency assistance. Assist in rent collection and rent manager program. Communicate problems or potential issues and make recommendations to the Property Manager or Maintenance. Support on‑site resident events and programming. Handle any emergencies that arise on site. Financial Reporting & Control Prepare accounts payable for Property Manager approval. Prepare month‑end reports for Property Manager approval. Assist in budget preparation. Report variances from budget. Prepare documentation for move‑in and move‑out. Administrative Assistance Input all data into the computer system. Prepare necessary paperwork for resident move‑ins and renewals. Handle emergencies and communicate recommendations to the Property Manager. Maintaining Physical Asset Perform follow‑up inspections of maintenance work orders. Conduct regular inspections of property grounds, common areas, and interior and exterior spaces. Recommend repairs, replacements, or improvements to the Maintenance team when identified and approved. Recommend purchase of supplies, materials, and equipment when needed and approved. Qualifications & Requirements Job Type : Assistant Property Manager; Non‑Exempt Work Hours : Full‑time, Monday‑Friday 8:30 am–5:30 pm (weekends and evenings as needed) Physical Requirements : Lifting, moving, transferring, bending, stooping, squatting, and reaching. Required Education : Bachelor’s degree or equivalent work experience. Required Experience : 5+ years in property management, ideally focused on sales and leasing in the active adult community. Certifications : Preferred: Certified Professional Manager (CPM), Accredited Residential Manager (ARM), or equivalent industry designation. Qualities : Integrity; exceptional communication, sales, and negotiation skills; problem‑solving ability with residents and challenging situations.
