Project Coordinator - Grand Rapids MI

Applied Innovation is seeking a detail-oriented, self-directed, and highly organized Project Coordinator to join our team in Grand Rapids. This role partners closely with internal teams and external stakeholders to manage assigned projects and ensure exceptional client experience during large office solutions product deployments and internal projects. This is a full-time, onsite position located at 3223 Kraft Ave, Grand Rapids, MI, with standard hours of Monday through Friday, 8:00 AM–5:00 PM. Duties and Responsibilities Collaborate with the Operations PMO Manager to understand the objectives of assigned projects and the roles and responsibilities of all project stakeholders. Ensure project goals, scope, and requirements are clearly defined, documented, and agreed upon by all relevant stakeholders. Coordinate large-scale deployments and onboarding initiatives in accordance with customer requirements, contracts, and bid specifications. Align internal teams, third-party partners, and vendors to ensure seamless and effective project execution. Monitor project scope to ensure all deliverables are completed within agreed-upon parameters. Utilize Teamwork Projects software to coordinate activities, track progress, and maintain accurate project documentation and data repositories. Partner closely with internal teams and clients to understand preferences and requirements related to logistics, networking, and training. Assign and manage tasks across stakeholders, providing clear expectations regarding responsibilities, timelines, milestones, and deliverables. Other duties as assigned. Minimum Qualifications To perform this position successfully, an individual must be able to perform each job duty satisfactorily. Basic knowledge of project management principles, tools, and techniques. Willingness to learn networking functions related to office solutions equipment. Exceptional customer service skills with strong attention to detail. Strong written communication and planning abilities. Ability to multitask, problem-solve, and adapt quickly to changing project requirements. Understanding and alignment with the organization’s core values. Education/License/Experience Requirements High School Diploma required. Valid Driver’s License with a clean driving record (no DUIs in the past 5 years). Project Management certification (PMP, CAPM, or equivalent), preferred.
