Accounts Payable Specialist

Position Overview NPW is seeking a highly organized, detail-oriented, and metrics-driven Accounts Payable Specialist to join our team at our Corporate Headquarters in Hialeah, Florida. This role focuses on streamlining processes, improving efficiency, and contributing to a collaborative work environment. Primary Duties and Responsibilities Ensure accuracy when entering data. Demonstrate excellent verbal and written communication skills with internal and external customers. Use proper phone and e‑mail etiquette for success in this role. Maintain a high degree of adaptability and a willingness to learn. Apply solid computer and technical skills; manage information through spreadsheets and the internal system. Bilingual preferred (Spanish/English) but not required. Display a positive and can‑do attitude. Process invoices and issue payments. Monitor the Accounts Payable e‑mail account. Print, organize and file the invoices and expense documents. Communicate efficiently with vendors to request invoices or credits. Process all Central Billing Payments. Receive and email dropship invoices for assigned locations. Verify payment of invoices for the UPS account. Enter and code invoices/expenses in the Accounts Payable system per accounting policies and procedures. Review and clarify questionable invoice items, price discrepancies, or receiving errors (by matching PO to invoice) before entry. Verify vendor accounts by reconciling monthly statements to ensure good standing. Reconcile credit card and bank statements. Prepare accurate documents and manage records for the AP function in accordance with retention policies. File all expenses. Verify financial data for maintaining AP records. Reconcile processed work of the sales team by verifying entries and comparing system reports to balances. Educational and Skills Requirements Minimum of two years of accounts payable experience in a large organization. Knowledge of accounts payable processes. Excellent verbal and written communication skills and strong interpersonal skills. Proficient knowledge of Excel. Strong time management skills; ability to work both effectively and efficiently. Proficiency in all Microsoft Office applications. Physical Requirements Regularly required to stand, walk, use hands, reach with arms, speak, and listen.
