Executive Assistant

Position Overview Applied Materials is seeking a dynamic, hands‑on Executive Assistant to support the Chief of Staff of the President of the Semiconductor Products Group (SPG). The assistant will handle day‑to‑day activities and provide complex administrative support services in a proactive and detail‑oriented manner, fostering a trusted relationship among the Executive Assistant, Chief of Staff, and President while maintaining confidentiality. Key Responsibilities Manage, educate, and advocate on behalf of the Chief of Staff through strategic time management, streamlined communications, and action accountability to ensure the highest functioning team dynamics for company success. Provide non‑routine project‑based and administrative support to the Chief of Staff, handling a high volume of competing requests that require professional discernment on urgency and prioritization. Offer extensive calendar support for multiple calendars and effective communication with internal and external stakeholders. Coordinate, schedule, and manage travel, meetings, seminars, speaking engagements, and conferences for the President of SPG globally, including follow‑up and expense report processing. Prepare and process departmental paperwork, including non‑routine correspondence, complex presentations, contracts, and detailed reports. Independently manage the budgeting and contracting processes within the scope of the role. Coordinate multiple ongoing conferences and off‑site meetings/events such as leadership meetings and executive strategy offsites. Support the Chief of Staff in planning, tracking, and executing key strategic initiatives, ensuring timelines, deliverables, and milestones are met. Develop and maintain project trackers, dashboards, and communication plans for cross‑functional workstreams. Coordinate across multiple functional groups to collect information, consolidate updates, and ensure alignment on executive‑level projects. Drive follow‑through on action items, ensuring owners understand next steps and deadlines. Assist with process mapping and workflow optimization projects, identifying bottlenecks and proposing improvements. Manage small to medium‑scale operational projects independently, from scoping through completion. Prepare project briefs, summaries, and readouts for leadership consumption, synthesizing complex information clearly. Serve as a central coordination point between the Chief of Staff, technical leaders, and partner organizations for ongoing initiatives. Required Skills & Education Polished, service‑oriented demeanor with directive confidence to move tasks/projects toward completion. Advanced verbal and written communication skills, tailored to audience and industry nuances. Comfort with high flexibility, independent interpretation of policies, and solving non‑routine, complex issues autonomously. Understanding of how functional groups and strategic leaders interrelate within the organization. Ability to establish workflow and project priority, taking on a wide range of responsibilities. Proactive communication, relationship building, resilience, and collaborative leadership mindset. Strong organizational skills and ability to manage multiple concurrent tasks with professionalism, confidentiality, and client service. Solutions‑oriented approach to departmental challenges, including scope analysis, data compilation, and recommendation of positive change. Professional passion and commitment to continuous learning across administrative staff management. Strategic alignment and strong advocacy on behalf of the administrative function. Advanced working knowledge of MS Office Suite, mobile, and social media platforms, and comfort learning new technologies. Deep understanding of company policies and procedures, and ability to apply them to operations. Knowledge of the company’s product, service, and mission‑critical goals to implement effective systems/processes. Exceptional stress absorption, EQ, and the ability to manage across a diverse large team. Analytical, processing, and decision‑making skills based on multidisciplinary data, even when incomplete. Ability to differentiate and prioritize urgent versus important issues with situational awareness. Benefits Salary range: $46.50 - $63.80 (per hour). Location: Santa Clara, CA.
