The Role Key Responsibilities: You will be responsible for the meeting and greeting of clients and receiving deliveries. Management and coordination of all Meeting Room bookings and Car Park booking requests. You will ensure all meeting rooms are presentable for meetings and arrange in‑house catering. You will provide refreshments and ensure that all parties are informed that the meeting is ready to take place. You will ensure that the Reception area is fully stocked and beverages are available including procurement. You will work with the Facilities team and ICT to ensure meeting rooms and general office are in good order and report any problems in a timely manner. You will be responsible for all Client areas such as Reception, restrooms and cloak rooms are in a respectable condition and fully stocked. You will be responsible for ordering supplies for this area in conjunction with the Facilities team. You will be the first port of call for client walk‑in enquiries, and you will assist the legal teams in administrative tasks such as the scanning and distribution of both physical and electronic documents and letters and assisting collections and outgoing post; as well as provide other administrative services as required by the client services manager. Cover incoming calls on an overflow basis as required in a timely, professional, friendly and courteous manner. Conducting both First Aid and Fire Marshal duties (including any relevant training). Ensuring the meeting rooms are clear, tidy and ready for use before all meetings. All clients are provided with an agreed level of service. About You Experience and skills: The ideal candidate will have excellent interpersonal and communication skills and a focus on quality client care. You will ideally be used to working in a busy and highly professional legal practice. The position would suit someone who is highly organised, accurate, proactive and who is also approachable and flexible. A ‘can do’ attitude, the ability to multi‑task and a keen eye for detail is essential. You should be used to dealing with a busy and varied workload with the ability to remain calm under pressure. You will be a confident IT user with good working knowledge of MS Office (i.e. Outlook, MS Word and Excel). Excellent attention to detail. Excellent organisational skills. Ability to multi‑task.
