Grants and Contracts Administrator

The Contract Administrator is responsible for managing clinical trial contracts and budgets within a research finance environment. This role involves analyzing trial documents, negotiating budgets and contract terms with external partners, ensuring compliance with institutional and legal standards, and collaborating closely with clinical and post-award teams. The position requires strong organizational skills, attention to detail, and the ability to support process improvements and special projects related to data analysis and reporting. Responsibilities:

• Coordinate completion of study agreements including contracts, start-up agreements, service agreements, physician agreements, master contracts, and fee schedules.
• Prepare and submit contracts for legal review, monitor progress, and facilitate execution in partnership with legal teams.
• Review clinical trial protocols and complete Qualifying Clinical Trial (QCT) checklists; obtain Principal Investigator signatures as needed.
• Develop and negotiate financially feasible budgets ensuring coverage of internal expenses within strict project timelines.
• Collaborate with site teams to confirm resource and expense allocations, and facilitate vendor cost agreements.
• Maintain understanding of billing compliance, fair market value, coverage analysis, study essential documents, and institutional policies.
• Review protocol amendments and related documents to assess impacts on coverage analysis, contracts, and budgets.
• Utilize Microsoft Office applications, especially Excel, to support template and tool enhancements for efficiency.
• Collaborate with post-award teams to resolve issues and improve workflows related to contract and budget management.
• Adapt to changing standards and provide feedback for process improvements.
• Support special projects involving data analysis and data mining.
• Maintain organized project documentation on internal platforms.
• Build and sustain positive relationships with internal stakeholders and external sponsors.
• Track and maintain metric dashboards for key performance indicators and leadership reporting.
• Respond to inquiries and provide timely updates according to expected timelines.

• Bachelor's degree required.
• Minimum of 4 years experience working with clinical trials.
• Minimum of 3 years experience working with contracts and budgeting.
• Strong skills in contract negotiation and budget development.
• Proficiency in Microsoft Office, especially Excel.
• Excellent organizational, communication, and interpersonal skills.
• Ability to manage multiple projects under strict timelines.

• Experience with clinical research organizations, pharmaceutical or medical device companies.
• Familiarity with billing compliance, coverage analysis, and fair market value principles.
• Experience supporting post-award processes and quality control in clinical research finance.
• Skills in data analysis and metric reporting.

• Hybrid work schedule with 1-2 days per week in the office.
• Initial training period may require full-time in-office attendance for two weeks.
• Work within a fast-paced, deadline-driven clinical research finance environment.
