Benefits and HRIS Coordinator Vedder's Chicago office is seeking a Benefits and HRIS Coordinator. The Benefits and HRIS Coordinator will assist and support the Director of Benefits and the HRIS Manager in the day-to-day functions of the Benefits and HRIS Departments. Job Duties As the Benefits and HRIS Coordinator, your job duties will include but are not limited to: Benefits Provide backup support to the Benefits Coordinator on new hire orientations and Life Events for employees (new hires, change of status enrollments, and dependent verifications). Review the benefits mailbox to provide guidance to employees regarding benefits issues and questions; including liaising with third‑party administrators for claims questions, and liaising with payroll on benefits changes/adjustments for late enrollments. Backup to Benefits Coordinator on flexible spending plans and health savings accounts. Enter employee deductions and group changes. Assist with maintenance and management of data for retirement plans (401(k)), including handling employee inquiries regarding account information. Coordinate annual Open Enrollment with the Benefits and HRIS Specialist for all offices. Assist with updates to employee/benefits information on the intranet. Process all Benefits invoices, working directly with the Benefits and Accounting Teams to ensure timely invoice allocation and payment. Handle all Benefits reporting for payment of vendor invoices. Perform other Benefits‑related duties as assigned. HRIS Operate as HRIS level 1 support; troubleshoot HR, Payroll, Benefits and other systems issues; work with the HRIS Specialist and/or UKG support on more complex matters. Serve as a key contact to ensure data integrity, performing regular HR system audits and system testing, and making recommendations to improve processes. Prepare reports and ad‑hoc queries for employee data contained in HRIS in response to requests from users within Human Resources. Assist with maintaining and updating system configurable fields, tables, and features supporting HR, payroll and benefits. Assist with set‑up of evaluation processes in viDesktop. Provide support and training to users on HRIS systems and processes. Create and maintain HRIS system documentation. Participate as a core team member of HRIS on process‑improvement initiatives and various projects. Perform other HRIS‑related duties as assigned. Skills & Competencies Detail‑oriented and capable of working with highly confidential information. Effective written and oral communication skills. Ability to take initiative and work with limited supervision. Ability to excel in a fast‑paced environment. Ability to multi‑task and work under pressure to meet strict deadlines. Knowledge of applicable state and federal laws and regulations (e.g., ERISA, DOL, IRS, HIPAA, COBRA, FMLA, ADA, Healthcare Reform, ACA, Section 125, and 401(k)). Prior experience using HRIS systems (UKG). Strong interpersonal skills. Qualifications & Required Experience Bachelor's Degree Preferred. 1–3 years of Benefits/HRIS experience. Ability to work under pressure to meet strict deadlines. Computer Skills Strong proficiency in MS Office, particularly Excel, and demonstrated proficiency in HRIS systems. Compensation Range $55,000/yr. to $65,000/yr. Benefits Package Competitive salary commensurate with skills and experience. Discretionary annual bonus program.
