Multi-Site Scheduling Coordinator

Job Summary The Multi-Site Scheduling Coordinator is responsible for maintaining, updating, and coordinating schedules across 90+ operational centers. This role ensures accurate calendar management, timely schedule updates, and effective communication between centers to support daily operations and staffing needs. Essential Functions Manage and maintain scheduling calendars for 90+ centers. Enter, update, and track schedule changes in scheduling and workforce management systems. Coordinate staffing schedules and coverage requirements across multiple locations. Monitor schedule conflicts and work with managers to resolve issues. Ensure accurate and timely communication of schedule updates to center leadership and staff. Generate scheduling reports and maintain scheduling records. Support operational planning by monitoring staffing levels and schedule compliance. Assist with special projects related to workforce scheduling and resource allocation. Maintain confidentiality of employee and operational information. Ensure adherence to company scheduling policies and procedures. Supervisory Responsibilities None Essential Qualifications Education / Licensure / Certification High school diploma or equivalent; associate's or bachelor's degree preferred. Required Knowledge Knowledge of general medical practices, Federal Confidentiality Law, HIPAA & ethics, and ability to work in both a medical and telehealth environment. Proficiency with scheduling software, Google Workspace, and calendar management systems. Experience Required 1–3 years of scheduling, administrative, operations, or workforce coordination experience. Skill and Ability Strong organizational and time‑management skills. Excellent attention to detail and data‑entry accuracy. Ability to manage multiple priorities in a fast‑paced environment.
