This position is responsible for the consistent execution of standard workflows related to advising, eligibility review, and aid awarding, ensuring accuracy, compliance, and responsive, student-focused service. The Student Financial Aid Officer works under general guidance as part of the Office of Scholarships and Financial Aid (OSFA), serving as an active and engaged contributor while collaborating across the office to support service delivery and referring complex or non-standard cases for advanced review.ResponsibilitiesStudent and Campus Partner Support. Responds to inquiries from students and campus partners via telephone and email regarding eligibility criteria, application requirements, submission deadlines, and award status; provides guidance on required documentation and next steps in accordance with established policies, procedures, and resources. Manages inquiries through Salesforce case assignments, including intake and timely resolution of inquiries and escalations, while maintaining accurate documentation and adherence to established service standards and response timelines.Financial Aid Processing and Awarding. Process financial aid applications and documentation in accordance with defined policies, procedures, and system workflows. Verify applicant information, review documents for completeness, resolve routine eligibility issues, and package and award federal, state, and institutional aid using automated systems and standard guidelines. Apply working knowledge of Title IV, state, and institutional regulations to support compliant financial aid processing.Compliance, Eligibility, and Operational SupportMaintain accurate records, forms, and documentation, including updating student records and tracking outstanding requirements. Identify discrepancies or conflicting information and refer complex or non‑standard cases for advanced review. Support required reporting and system processes to ensure accurate disbursement and operational efficiency.Office Collaboration and Professional DevelopmentParticipates in coordinated service delivery across the Office of Scholarships and Financial Aid, working within an assigned team while contributing to office-wide collaboration. Supports workload distribution, follows established procedures, and engages in cross-training to ensure service continuity. Maintains current knowledge of financial aid policies, systems, and service standards through required training and applies learned guidance to assigned responsibilities.Other duties as assigned.Required QualificationsBachelor’s degree with at least 2 years of experience in student financial aid, student personnel, student services, or a related field. Education may be substituted with experience on a year-for-year basis. Strong organizational, communication, and time‑management skills with the ability to manage multiple priorities in a fast‑paced environment. Must be detail‑oriented, student‑focused, and able to follow established procedures while referring complex cases as appropriate. Proficient in Microsoft Word and Excel, with the ability to learn new financial aid systems. Availability for evening and weekend events and occasional overnight travel required. Employment is contingent upon compliance with UT Austin conflict of interest policies, including divestment of student loan lender holdings (excluding mutual funds), and maintaining good standing on federal student aid obligations.Preferred QualificationsMore than the above qualifications. Demonstrated advanced knowledge of state and federal financial aid programs. Demonstrates strong attention to detail, effective communication skills, and professionalism in managing competing priorities in a moderate- to fast-paced environment. Prioritizes workload, manages multiple assignments, and remains productive amid frequent interruptions. Delivers routine presentations as needed. Bilingual proficiency (e.g., Spanish or American Sign Language) preferred. Knowledge of The University of Texas at Austin policies and procedures and experience with Oracle Student Financial Planning, Salesforce, Power BI, and The University of Texas at Austin legacy systems.Salary Range$45,000 + depending on qualificationsWorking ConditionsMay work around standard office conditionsRepetitive use of a keyboard at a workstationWork is performed primarily in an on‑site office environment and includes frequent interaction with students, staff, and external partners in person, by phone, and through electronic communication. Regular in‑person presence is expected to support operational needs and student services.A hybrid work arrangement may be considered on a limited basis with supervisory approval, based on demonstrated experience, job responsibilities, performance, and departmental needs.Position requires prolonged periods of sitting, extensive use of a computer and multiple software applications, and work in a shared workspace with frequent interruptions.
