Department: Finance Reports to: Controller Salary: $100,000-$130,000 annually (compensation reflective of qualifications and credentials) Location / Working Model: Hybrid (3 days per week at Monterey Park Headquarters, or as needed) Job Snapshot: CLC is seeking to hire an Accounting Manager to join our growing Finance team. We are a 500+ employee-focused nonprofit organization with an annual budget of over $70 million. Reporting directly to the Controller, the Accounting Manager plays a crucial role in overseeing the day-to-day financial operations of CLC, ensuring accuracy, compliance, and efficiency across all accounting processes. This is a hands-on, operational leadership role for an accounting professional who leads by example and maintains active control over subledger and General Ledger integrity. You will supervise a team of four accounting professionals, providing guidance, coaching, and training. Crucially, you must maintain strong technical expertise and serve as the primary operational backup for key accounting functions—stepping in directly to process transactions, prepare reconciliations, or clear operational bottlenecks during staff absences, turnover, or deadline crunch times. The successful candidate will have a strong background in accounting principles, excellent leadership skills, and the ability to work collaboratively with cross-functional teams. Requirements Your Impact on the Mission – Excellence in Advocacy 1. Operational Supervision & Primary Staff Backup Team Leadership & Supervision: Lead, direct, and supervise a team of four accounting professionals, providing continuous coaching, daily guidance, and performance support. Serve as Primary Operational Backup : Maintain complete capability and willingness to act as the direct, hands-on replacement for staff duties during absences, vacancy periods, or peak workload surges – including invoice processing, grant billings, issuing grant/financial reports, and performing reconciliations--to ensure seamless business continuity and meeting tight deadlines. Primary Source Verification: Review staff work against primary third-party source documentation (e.g. vendor invoices, contracts) rather than relying solely on secondary user-generated spreadsheets. Operational Efficiency & Workflow Improvement: Identify operational bottlenecks, implementing practical process improvements and system enhancements in Financial Edge NXT and Excel to eliminate redundancies, minimize manual corrections, and increase the timeliness and accuracy of month-end closing. Comprehensive Tax Compliance & Reporting : Lead all organizational tax reporting, filings, and compliance functions—including primary responsibility for annual 1099 processing (W-9 management, vendor classification, and IRS/vendor filings) and California sales and Use Tax calculations, returns, and remissions—ensuring strict adherence to local, state, and federal tax laws. 2. Government Contracts & Grant Financial Management Contract & Grant Setup : Review incoming government contracts (e.g., local, state, and federal funding streams) and grant agreements to establish proper segment codes, allowable cost tracking, billing schedules, and restriction categories. Expense Allocation & Budget Monitoring : Oversee the accurate coding and allocation of direct program costs and indirect administrative expenses to government contracts. Monitor spend rates and contract burn rates against approved program budgets. Reimbursement & Invoicing : Prepare, substantiate, and submit monthly/quarterly grant reimbursement drawdowns, billings, and compliance reports to government agencies and funders ahead of strict deadlines. Dual-Budget Tracking & Variance Analysis : Compile, analyze, and distribute regular financial reports comparing actuals against both the Board-Approved Fiscal Year Budget (based on anticipated contract renewals and fiscal allocations) and individual Grant Agreement Budgets (based on distinct grant award terms). Produce variance analysis for both perspectives to track operational alignment and contract compliance. Program/Grant Manager Collaboration & Reporting : Partner directly with Program/Grant Managers to review monthly grant reports, analyze program costs, track fund receipts, and ensure grant funding is allocated accurately according to funder guidelines. Audit-Ready Grant Documentation : Maintain comprehensive, audit-ready support for all grant-funded expenditures – including vendor invoices, allocation schedules, and supporting documentation for all billed expenses) to support annual financial audits, government single audits (Uniform Guidance), and funder monitoring reviews. 3. Month-End Close & Financial Reporting Enforce Month-end Closing Governance : Manage the month-end close schedule across accounts payable, accounts receivable, and general ledger functions – actively addressing delays, removing roadblocks, and enforcing accountability when staff fall behind to ensure strict adherence to closing deadlines. Demonstrate Proof of Proper Close : Produce verifiable, audit-ready evidence that each month is closed properly under US GAAP—including complete, signed-off balance sheet account reconciliations, subledger-to-GL tie-outs, roll-forward schedules, and explicit review documentation. Independently Perform System Completeness Checks : Run pre-close system completeness checks in Financial Edge NXT—searching for unposted transaction batches, unassigned project IDs, or incorrect/missing grant codes—and execute all corresponding journal entries and adjustments before locking accounting periods. Financial Statement Preparation: Prepare, analyze, and present accurate monthly, quarterly, and annual financial statements, accompanied by budget vs. actual variance analysis to support executive leadership decision-making. 4. Controls, Cash Flow & Financial Systems Perform routine reviews and clean-ups of Accounts Receivable and Accounts Payable subledgers to resolve aged open items, unapplied credits, or vendor discrepancies. Monitor daily banking activities, manage cash flow planning, and ensure fund availability to support organizational operations. Support annual financial audit preparation, ensuring timely completion and addressing any audit findings. 5. Continuous Learning: Staying informed and adapting evolving social dynamics to better engage and support colleagues and team from all backgrounds. The Assets You Possess/Essential Qualifications Education: Bachelor’s degree in Accounting, Finance, or related field. Experience: 5+ years of progressive accounting experience, with 2+ years supervising accounting staff. Fund Accounting & GAAP: Deep knowledge of non-profit GAAP, fund accounting, and tracking restricted assets. Grant Compliance: Hands-on experience with multi-funder government contracts, private grants. Tax Reporting: Direct experience managing annual 1099 filings and California Sales & Use Tax returns. Systems & Excel: Proficiency in Financial Edge NXT (or enterprise ERP) and advanced Excel (pivots, lookups, models). Quality Control: Commitment to audit-ready verification using primary source documents (contracts, registers, invoices). Deliverable Management: Proven ability to manage deliverable tracking, meet strict closes/deadlines, and lead a team of four.
