Construction Project Coordinator

Project CoordinatorThe Project Coordinator is responsible for a wide range of tasks and responsibilities in support of the project execution teams, including project document coordination, facilitating the construction funding process including the preparation of contractor funding request, subcontractor administrative tasks, preparation of third-party reporting and complete process improvement tasks or projects as needed.Responsibilities:Project CoordinationMaintain third-party checklists and trackers, prepare necessary deliverables while collaborating with internal teams to streamline communication and project timelinesPrepare invoices, proposals, and financial reports related to capital projectsMonitor project milestones, provide regular status updates to stakeholders, and identify opportunities for process improvementsAssist with special projects to enhance team efficiency and achieve company goalsMaintain subcontractor files including contract administration, insurance certificates and other regulatory compliance needs. Centralize project document control, updating and reportingConstruction Funding Process:Track capital expenditures and life of construction projects as it pertains to lender and investor funding requirementsUse Excel and other platforms to maintain records and reconcile sources & uses information required by lenders and investorsPrepare monthly pay requisitions including all required subcontractor documentation and lender required documentationManage requests for documentation and coordinate with all parties involved in the funding processQualifications:Excellent verbal and written communication, organizational, presentation and analytical skillsAbility to take ownership and commitment to follow throughAbility to effectively prioritize and handle multiple tasks under pressureStrong work ethic and attention to detailDesire to work in a fast-paced, entrepreneurial environment3-5 years of relevant work experience in real estate, affordable housing, or related fieldBachelor's Degree - Real Estate, Accounting, or Business Concentration preferredPrevious accounting experience a plusWorking proficiency in Microsoft Office programs such as Excel, Word, and PowerPointCore Competencies:Resourceful with strong problem solving, investigating, and critical judgment skillsProficient in Office Suite and basic Adobe software is requiredProactive with strong work ethic and attention to detailIndependent, self-starter mentality, with exceptional communication and organizational skills.Ambitious with desire to grow.Highly accountable: able to take ownership, meet deadlines, follow-through.Highly motivated self-starter and independent worker.Able to perform in a fast-paced environment with multiple projects and deadlines.Open to learn from mistakes and challenges.Outstanding in written and oral communications skills.Able to work collaboratively in a small team environment; can "roll up his/her sleeves" and pitch in where necessary within the companyAPEX is a nationwide Construction and Facilities Management firm that was founded on a simple premise…to provide owners of commercial real estate with support across the full lifecycle of their investments.
