Administrative Coordinator
We are seeking a dynamic and detail-oriented Administrative Coordinator to support property management with a variety of administrative tasks. This role involves managing communication with tenants, handling digital and physical files, and overseeing mail and courier services. The coordinator will ensure compliance with company policies through meticulous record-keeping and track insurance certificates for accuracy and timely renewal.
Responsibilities
- Assist with a wide range of administrative tasks, including answering phones and managing office supplies.
- Maintain up-to-date records of building operations and ensure documentation compliance.
- Track and renew Certificates of Insurance accurately and timely.
- Process and track accounts payable and receivable, including vendor invoices and tenant billing.
- Collaborate with the building operations team to manage maintenance needs and coordinate work orders.
- Serve as a liaison between tenants and building management, organizing meetings and supporting tenant events.
- Provide reliable support and high-quality service delivery.
- Follow established procedures and guidelines with moderate supervision.
- Greet and welcome tenants, visitors, vendors, and clients in a professional manner.
- Maintain a clean and organized reception area.
- Provide exceptional customer service and maintain confidentiality.
- Enter invoices in the P2P system and ensure proper documentation.
- Manage purchase orders and service contracts, ensuring compliance and timely processing.
Essential Skills
- 2-3 years of experience in administrative roles or related fields.
- Proficiency in Microsoft Office Suite.
- Excellent attention to detail for handling invoices, contracts, and compliance documentation.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Professional, friendly, and solution-oriented customer service.
- General computer knowledge and basic troubleshooting skills.
- Proficient in general office skills such as filing, scheduling, and phone call management.
- Professional guest reception and email management skills.
Additional Skills & Qualifications
- GED or equivalent experience required.
- Ability to work effectively with property managers, engineers, vendors, and building staff.
- Willingness to assist in day-to-day operations.
- Strong communication skills.
- Organizational and multitasking abilities.
- Professional office etiquette and team player mentality.
- Reliability and consistent attendance are critical.
Work Environment
This is an onsite position with working hours from 8:30 am to 5:00 pm EST, Monday to Friday. The role offers potential for full-time employment, with a focus on dependability and punctuality to meet operational needs.

This is a Contract position based out of Washington, DC.
Pay and Benefits
The pay range for this position is $21.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms.
