Executive Administrative Assistant to the President of a 100 employee manufacturing company in Milford, CT

ON SITE position Monday - Friday 8am - 4:30pm

The Executive Administrative Assistant to the President provides high-level administrative, organizational, and executive support to the President of a manufacturing company. This role serves as a trusted partner and central point of coordination between the President, C‑Suite leaders, department heads, and external vendors. The position requires discretion, strong judgment, and the ability to manage competing priorities while supporting company-wide initiatives.

  • Provide administrative support to the President, VP and others
  • Accounts Receivable responsibilities; knowledge of Excel spreadsheets
  • Prepare financial reports as needed (weekly/monthly)
  • Prepare agendas, presentations, reports, and briefing materials for executive and leadership meetings
  • Act as a gatekeeper to prioritize requests, communications, and issues requiring the President’s attention
  • Handle confidential and sensitive information with the highest level of professionalism and discretion
  • Serve as a liaison among the President, C‑Suite executives, and department leaders (Accounting, Sales, Operations, etc.)
  • Coordinate communication and follow‑up on strategic initiatives, action items, and leadership decisions
  • Track deadlines and deliverables for executive-level projects and ensure timely completion
  • Interface regularly with Accounting on budgeting calendars, expense approvals, reporting deadlines, and executive-level documentation
  • Understand invoicing, payables, receivables and reporting in Excel
  • Support Sales leadership with scheduling, reporting, customer-facing presentations, and executive communications
  • Assist with preparation of ownership reports, metrics, and operational summaries as needed (Excel reports)
  • Maintain organized electronic and physical filing systems for executive and corporate records

  • Associate’s or Bachelor’s degree preferred, or equivalent combination of education and experience
  • 5+ years of executive administrative support experience, preferably in manufacturing, industrial, or mid-sized organizations
  • Proven experience supporting senior leadership or C‑Suite executives
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with ERP or CRM systems a plus
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality
  • Exceptional organizational and time‑management skills
  • Ability to manage multiple priorities in a fast‑paced environment
  • Strong interpersonal skills with ability to communicate effectively at all organizational levels
  • Proactive problem-solving mindset with attention to detail
  • Flexibility, adaptability, and a service-oriented attitude
