JOB DESCRIPTION:

The Service Administrative & Loaner Coordinator plays a key role in supporting the Service Department by combining front-desk receptionist responsibilities with ownership of the loaner vehicle coordination process. This position requires a high level of professionalism, strong administrative skills, and prior experience in a dealership environment. The ideal candidate is organized, customer-focused, and capable of managing multiple responsibilities in a fast-paced setting.

JOB REQUIREMENTS:
  • Greets all customers to create a great guest experience
  • Answer and route incoming phone calls efficiently and courteously
  • Directs customers to the appropriate department or point-of-contact
  • Support the Service Department with administrative tasks, documentation, and coordination
  • Coordinates questions and issues with the appropriate department personnel
  • Assist with scheduling, customer communication, and follow-up as needed
  • Will be trained and expanded to include loaner car coordinator
  • Customer service advocate is the key to success in this role
  • Assist with scheduling, customer communication, and follow-up as needed
  • Verify customer eligibility and ensure proper documentation is completed
  • Track loaner vehicle availability, condition, and return status
  • Coordinate with service advisors, technicians, and management regarding loaner usage
  • Professional appearance and demeanor at all times
  • Comfortable working in a fast-paced, customer-facing environment
COMPENSATION and BENEFITS :
  • Minimum of 2+ years of experience in a dealership setting required
  • Prior experience in a service department, administrative, receptionist, or coordinator role preferred
