Our client seeks a Legal Administrative Coordinator (Guest & Meeting Services) to perform all functions related to receiving calls, clients, and guests and directing them appropriately within the Firm. The coordinator will schedule and set up technology for on-site and virtual meetings, troubleshoot issues with conference rooms and telephone systems, and coordinate catering for meetings.
Compensation: $28.85/hr
Availability: On-site, Monday - Friday, 8am - 5pm.
Duration : This contract role is set to be indefinite and could turn into something permanent for the right person.
Duties & Responsibilities:
- Greet clients, guests, and visitors in a friendly and professional manner; manage client parking validation via the online parking validation system; maintain the professional appearance of the reception area.
- Operate a multi-line telephone console to relay incoming, outgoing, and intra-system calls.
- Maintain security by following procedures; maintain visitor log and issue visitor badges. Facilitate a professional, respectful guest experience that protects the client and Firm confidentiality.
- Schedule conference rooms and visitor offices using electronic resource scheduling software in advance and in response to immediate needs.
- Coordinate catering for meetings and events. Maintain updates in scheduling software to reflect catering plans for meeting attendees. Set up food and beverages in meeting rooms as needed.
- Event planning – Assist legal and operational teams with planning and executing on-site and off-site events. Duties may include researching and booking venues; coordinating catering, transportation, speaker, and AV needs; managing guest lists and event-day support.
- Special Assignments – Assist with data entry, mailings, or other administrative projects using Microsoft Office applications and other Firm technologies as needed.
Qualifications:
- Communicate effectively with internal and external clients, both orally and in writing.
- Exhibit proficiency with the Firm’s communication tools, including Microsoft Outlook, Microsoft Teams, and Zoom.
- Arrive at work on time and ready to contribute. Provide a seamless, high-quality, and positive experience to guests of the Firm.
- Show genuine sensitivity to the needs and capabilities of others. Treat others with respect, professionalism, and consideration. Interface well with diverse groups. Work effectively within a team and with others at all levels of the Firm.
