Administrative Assistant

Administrative Assistant / Receptionist Utilities & Lease Administration

Chicago Real Estate Resources, Inc. (CRER) is a leading commercial and residential real estate management, brokerage, and court-appointed receivership firm serving the Chicago metropolitan area. We are seeking a professional, organized, and detail-oriented Administrative Assistant / Receptionist to support our growing team.

Position Summary

The Administrative Assistant / Receptionist serves as the first point of contact for clients, tenants, vendors, and visitors while providing administrative support for property management, utility administration, lease administration, and general office operations.

Key Responsibilities

Reception & Office Support

  • Answer and direct incoming calls and greet visitors professionally.
  • Manage mail, deliveries, office supplies, and general office operations.
  • Schedule meetings and assist with administrative projects and document preparation.
  • Provide administrative support to property management, accounting, and leasing teams.

Utilities & Lease Administration

  • Set up, transfer, monitor, and maintain utility accounts and records for managed properties.
  • Coordinate with utility providers regarding billing, service issues, and account changes.
  • Maintain lease files, tenant records, insurance certificates, and compliance documentation.
  • Track lease expirations, renewals, and critical dates; update property management software and assist with lease abstracts, rent rolls, and tenant correspondence.

Property Management Support

  • Respond to tenant inquiries and coordinate maintenance requests, vendor scheduling, inspections, and court-related appointments.
  • Prepare reports, notices, and correspondence.
  • Assist with document management and support virtual assistant operations.

Qualifications

  • 2+ years of administrative, receptionist, property management, or lease administration experience preferred.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience with AppFolio or similar property management software preferred.
  • Professional demeanor, attention to detail, and ability to handle confidential information.
