Event Coordinator

Romeo Entertainment Group (REG) is seeking a highly organized and detail-oriented Event Coordinator (EC) to support Talent Buyers and Event Producers in the booking and execution of live entertainment events nationwide. Responsibilities include managing artist availabilities, processing offers and contracts,coordinatingdepositsandpayments,advancingartist performances,organizingtravelandhospitalitylogistics,maintainingbookingdatabases,trackingprojectdeadlines,andsupportingclient, agency,andartistcommunications. Theidealcandidatethrivesinafast-pacedenvironment,canmanagemultiplepriorities,andhasstrongorganizationalandcommunicationskills.Priorexperienceinevents,entertainment,hospitality,projectcoordination,orarelatedfieldispreferred.Occasionaltravel,evening work,andweekendavailabilitymayberequired. Key Duties and Responsibilities AssisttheContracts Manager with facilitating contract procedures and client communications to obtain fully executed agreements Assist Talent Buyers/Event Producers in theeventbooking and production process. This may include being a point of contact for an event under the supervision of the Senior Talent Buyer Prepare and process new and existing client service agreements Assess the viability of agency avails by working with allappropriate agenciesto gather and trackaccuratepricing, conflicts, and avails(RAD)for clients Update advance packets created by the Production Manager with year-over-year changes for an event (i.e.updated artist listing, show times, merch rates,venueand personnel changes, etc.) Organize, compile, and interpret artist analytics reports for clients Draft and input client offers into the REGdatabaseand share offers with theappropriate Talent Buyer/EventProducer for submission approval Evaluate, process, and respond to artist deal point memos and sendthemto clients for final review and approval Maintain real-time,accurateclient and artist information and data in the REG database Maintain records, spreadsheets, and documents that support and enhance REG's operations and success Send out confirmation notifications to clients Gather approved marketing assets from artist’s agencies and work withclientsto construct a general marketing plan,includingannouncing, on-sale, and advertising dates Updatetheinternal marketing tracker with up-to-date information Facilitate artist conflict clearance requests Collect and input client ticket counts and final gross amounts into the REG database Represent REG at conventions and client events, overseeing artist and client relations Provide service representation for events onsiteonlyas needed Assistother team members when time allows Perform special projects as assigned by your supervisor from time to time, which may include assistingin talent buying duties Skills and Qualifications Bachelor's degree from an accredited university or college preferred At least three years of professional experience working in the music industry Ability toanticipateneeds and execute time-sensitive matters in a fast-paced environment Strong organizational and communication skills, both written and verbal Proficient in Microsoft Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat About Romeo Entertainment Group: Romeo Entertainment Group (REG) is a leading independent, family-owned talent buying and concert production companyboastinga 69-year legacy in the industry.
