Location: Irvine, CA (Hybrid – 3 days onsite / 2 days remote)
Duration: 12-Month Contract with potential extension
$22-$27/HR based on benefits Orion Group is seeking an organized, proactive Account Coordinator to support the execution of integrated marketing and advertising projects within our pharmaceutical client’s fast-paced agency environment. This individual will serve as a key liaison between internal creative teams and client stakeholders, helping manage projects from initiation through completion while ensuring timelines, budgets, and deliverables remain on track. This individual will serve as a key liaison between internal creative teams and client stakeholders, helping manage projects from initiation through completion while ensuring timelines, budgets, and deliverables remain on track. Key Responsibilities
- Manage day-to-day project activities from kick-off through completion, ensuring deliverables are executed on time and within budget.
- Coordinate with cross-functional teams, including Creative, Production, Project Management, and Client Services.
- Develop and maintain project timelines, status reports, meeting notes, and project documentation.
- Support project estimate development and monitor project expenditures against approved budgets.
- Communicate project status, schedules, deliverables, and updates with client stakeholders.
- Coordinate project submissions, reviews, approvals, and revisions with internal review teams and client partners.
- Assist in routing marketing materials through review and approval processes while maintaining supporting documentation.
- Partner with project managers and creative teams to ensure efficient workflow management and cost control.
- Prepare conference reports, project briefs, tactical calendars, and other account management documentation.
- Support administrative activities including project setup, reporting, archiving, and file organization.
- Participate in creative development discussions and provide project input as needed.
- Bachelor's degree or equivalent combination of education and experience.
- 3–5 years of professional experience in account management, advertising, marketing, client services, project coordination, or a related field.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Proven ability to work independently and manage competing priorities in a fast-paced environment.
- Strong interpersonal skills and ability to build relationships with internal and external stakeholders.
- Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Experience within a healthcare, pharmaceutical, medical device, or regulated industry environment.
- Previous advertising agency or marketing agency experience.
- Familiarity with marketing review and approval processes.
- Experience with Veeva Vault, PromoMats, or similar content management systems.
- Basic budgeting, invoicing, or financial tracking experience.
