Administrative & Dispatch Coordinator - Infrastructure, Demolition, Excavation & Tree Services

HTM Contractors, Inc. is a locally owned contractor serving residential and commercial customers throughout Oahu. We specialize in infrastructure, demolition, excavation, tree services, junk removal, roll-off dumpster rentals, environmental cleaning, and street sweeping.

We're looking for an organized, dependable Administrative & Dispatch Coordinator to help keep our office and field operations running smoothly. If you enjoy helping customers, staying organized, and being part of a supportive team, we'd love to hear from you.

Pay & Schedule

• Full-Time Position
• Monday - Friday, 7:00AM - 4:00PM (one hour unpaid lunch)
• Weekly Pay

The Work:

In this role, you'll help coordinate office operations while supporting customers and field crews. Your responsibilities may include -

• Answering and directing incoming phone calls
• Responding to customer calls, emails, and text messages
• Scheduling projects and coordinating crews and equipment
• Setting up customer accounts, jobs, and work orders
• Keeping project schedules and calendars up to date
• Entering and updating information in Service Fusion and HubSpot
• Preparing invoices and assisting with project paperwork
• Tracking change orders and project documentation
• Processing permits and certificates of insurance
• Maintaining organized customer and project files
• Assisting management with reports and administrative tasks
• Helping other office team members as needed

Requirements:

We're looking for someone who is organized, dependable, and enjoys working with both customers and teammates -

• Previous experience in an administrative, customer service, dispatch, or office support role
• Strong communication and customer service skills
• Good organizational and time management abilities
• Comfortable using computers, Microsoft Office, and Google Workspace
• Experience with CRM or scheduling software is a plus, but we're willing to train the right person
• Ability to manage multiple tasks in a busy office environment
• Positive attitude, reliability, and willingness to learn
• Ability to work independently while also being a team player
