JOB SUMMARY:
The Contract Administrator is responsible for the preparation, issuance, and monitoring of the status and final submission of all bidding documents. This role will also provide support to the accounting department as needed.ESSENTIAL ROLES AND JOB FUNCTIONS:
Preparation of bid documents & proposals. Updates and maintains bid schedule. Turn in proposals at bid openings. Reviews project specs for bid proposal requirements. Requests bid bonds from surety. Collects and prepares all necessary documentation from the estimating/accounting/project management teams. Assist estimating group in subcontractor and vendor solicitations. As well as tracking and following up for quotes. Reviews and verifies awarded public/private owner contracts with DDM Construction’s attorneys. If project is awarded, prepare project documents request by the contract and owner. Finalizes and submits contracts to the President for review and signature. Submit contract and contract documents to the owner/client. Documents and files all project contract document in (S): drive and the physical copy in the job folder. Prepares and reviews company contracts with sub contractors or material suppliers Maintains communication and follow-ups with sub contractors or material suppliers until contracts are fully executed. Notarization of company documents, as needed. Assist in accounting duties related to contract administration including file management, billing, payments, lien waivers, subcontractor checks and other accounting duties as assigned. Send out notices and letters of default via legal e-mail and USPS, as needed. Other duties as assigned. REQUIRED EDUCATION, CERTIFICATES, DEGREE, AND/OR LICENSE: Minimum two (2) years of experience in construction administration. Notary, or ability to become a notary. The job requires a current valid Texas Class C driver’s license and a good driving record. Preferred Skills Self-motivated and willingness to learn. Strong interpersonal skills and ability to communicate well at all levels of the organization and with staff at remote locations essential. Strong problem solving and creative skills and the ability to exercise sound judgement and make decisions based on accurate and timely analyses. High level of integrity and dependability with a strong sense of urgency and results-orientation. PC proficiency is essential (Windows environment) and knowledge of Computer Ease or equivalent accounting software and Excel is preferred. Self-motivated, self-directed, works with minimum supervision. Attention to detail, thoroughness, organization, and analyzing information. Ability to work as a team-member and in a fast-paced environment. Physical Demands Requires specific but common physical characteristics and abilities such as above-average agility and dexterity. Repetitive movement, bending or twisting, and using hands to lift, push, pull, carry, handle, control, or feel objects, tools, or controls. Ability to lift heavy objects, walk, stand, and sit for long periods of time.
