Office Administrator / Receptionist

About the Role

We're looking for a polished, professional, and dependable Office Administrator/Receptionist to join our growing team. As the first point of contact for clients and visitors, you'll play a key role in creating a welcoming and organized office environment while providing administrative support to daily operations.

Although our company operates multiple office locations throughout Manhattan, this position will be based at one primary location.

Location: Manhattan, NY (Candidates may be assigned to one primary office location. We have multiple office locations throughout Manhattan.)

Pay: $22.00–$24.00 per hour, based on experience

Job Type: Full-Time

Responsibilities

  • Greet clients, guests, and vendors with professionalism and warmth
  • Answer and direct incoming phone calls
  • Manage calendars, appointments, and conference room scheduling
  • Handle incoming and outgoing mail and deliveries
  • Maintain organized filing systems and office records
  • Order and monitor office supplies
  • Assist with data entry, document preparation, and general administrative tasks
  • Support management with special projects as needed
  • Keep the reception and common areas clean, organized, and client-ready
  • Coordinate with staff across multiple Manhattan office locations when necessary

Qualifications

  • 2+ years of receptionist, front desk, office administration, or administrative assistant experience preferred
  • Hospitality background
  • Excellent verbal and written communication skills
  • Professional appearance and demeanor
  • Strong organizational and multitasking abilities
  • High attention to detail and reliability
  • Proficiency with Microsoft Office (Outlook, Word, Excel)
  • Comfortable learning new software and office systems
  • Positive attitude with exceptional customer service skills
  • Ability to maintain confidentiality and professionalism
