Human Resources Coordinator

The Human Resources Coordinator supports ARC’s recruitment and onboarding operations by handling key administrative steps, acting as a primary contact for new hires, and ensuring pre-hire and onboarding requirements are completed accurately and in line with federal and state standards. Location and Schedule Seattle, WA (Onsite) Work is based at 300 Elliott Ave W, Ste 100, Seattle, WA 98119 . This is a full-time role. Standard hours are Monday through Friday , with occasional evening or weekend work as needed based on organizational requirements. Travel may be required occasionally to ARC-supported community centers. Pay and Start Date Proposed start date: Beginning of November 2026 Hourly pay range: USD 28 - 33 per hour (full pay range: $28.85 - $33.65/hr ). Key Responsibilities Provide administrative support for all pre-hire and onboarding processes Assist recruitment activities such as job postings, resume review, prescreening, and interview coordination Serve as the primary point of contact for new hires from offer acceptance through clearance to start Enter and manage candidate information in the Paycom ATS and facilitate self-onboarding Process new hire and rehire paperwork to maintain compliant, accurate employee files Maintain onboarding documentation and tracking sheets in Paycom Schedule and assign orientations and required new hire trainings Conduct background, motor vehicle, and reference checks Follow up on missing documents and support timely completion of onboarding requirements Ensure onboarding form accuracy, including Form I-9 , W-4 , and authorization documents Partner with the HR Generalist to support DCYF licensing compliance Coordinate onboarding tools and track assigned organizational property Communicate onboarding status and clearance-to-work updates to hiring managers Support HRIS maintenance through record updates, employee changes, and compliance audits Audit employee files for completeness and resolve missing information Build and maintain collaborative relationships with internal teams and external partners Stay current on employment laws and HR best practices Participate in training and HR team meetings to support process improvement Perform other duties as assigned Required Qualifications At least one year of Human Resource Assistant or Recruiting Assistant experience Associate’s or bachelor’s degree strongly desired ; aPHR or PHR preferred Familiarity with standard HR and recruiting concepts and practices Ability to use judgment and experience to plan and accomplish goals Commitment to equity, fairness, impartiality, and reducing barriers through onboarding practices Strong administrative skills and proficiency with Microsoft Office Ability to establish collaborative working relationships with diverse groups Knowledge of employment law and HR best practices High level of confidentiality and professionalism Ability to work effectively with individuals at all organizational levels Creativity and flexibility in problem-solving Tools and Systems Paycom ATS Paycom Microsoft Office Form I-9 W-4 Benefits 100% employer paid premiums for employees’ medical, dental, vision, and basic life insurance Flexible Spending Account (FSA) and Dependent Care Account Employer Student Loan Contribution ARC Sick & Safe (sick), accrual rate: one hour for every 30 hours worked Paid Time Off (vacation) up to 15 days per year Holiday Pay 1 paid Floating Holiday annually Transit Contribution Plan Employee Assistance Program 401k Retirement Plan Voluntary/Supplemental benefits through payroll deduction: Accident, Cancer Assist, Critical Illness, Supplements Life Work Environment and Physical Demands This role operates in a professional office environment and routinely uses standard office equipment including computers, phones, printers, scanners, and photocopiers.
