IE BCBA (Board Certified Behavior Analyst) The Clinical Supervisor is responsible for managing and supervising the Case Managers of CSH. This includes consulting with direct supervision and service staff (therapists, supervisors, and administrative staff), monitoring staffing, case specifics, and implementation of protocols that adhere to CSH policies and guidelines. The Clinical Supervisor reports directly to the Clinical Director. Responsibilities Administration : Remain HIPAA compliant at all times, ensuring all client files are protected. Render and lock schedule by due dates. Create schedule and update NPA Works by the end of each work week. Submit monthly source documentation for every rendered billable session on NPA. Send a staff recognition email each month and Bcc relevant management. Complete all assigned tasks on time and follow up with updates. Attend all scheduled CSH trainings and/or meetings. Demonstrate fluency across all company policies. Maintain client dignity and professional boundaries. Provide RBT and BCBA supervision to staff. Meet billable expectancy weekly and monthly, communicate barriers. Maintain a minimum of 70/30% Direct/Indirect ratio of client hours. Case Management and Clinical Oversight : Ensure Catalyst is fully updated with clients programming. Submit SOAP notes on Catalyst for each rendered appointment. Verify that all programs in acquisition are targeted each month. Update behavior support plans when needed. Ensure each client has a backup logbook with required sheets. Conduct new therapist overlaps and minimum two overlaps per month. Model interventions and provide constructive feedback during overlaps. Follow up with team via email after overlaps. Complete at least one Case Manager feedback form per month. Maintain accurate client data and IOA scores. Monitor monthly hours, provide additional hours if needed. Support scheduling department as required. Document feedback given to case managers. Delegate tasks to case managers and ensure completion. Parent Consultation (PC) : Ensure monthly parent consultation is conducted (minimum twice a month). Document cancellations or barriers in the electronic system. Provide oversight and guidance to case managers after PC sessions. Model ABA principles during parent consultations. Follow up with management team after parent consultations. Address parent concerns with a plan of action and follow-through. Coordinate care as applicable and consult during IEP meetings. Report Writing : Submit progress reports by assigned due dates. Update progress across goals, baseline, and current data. Update behavior support plans with minimal errors. Complete report narratives and assessment tool scores. Ensure billable hours allotment for report review. Revise reports by due dates and follow up with case managers if not received. Assessments : Contact clients to schedule observation and parent interview within 48 business hours. Conduct a minimum of two client observations across settings. Take detailed observation notes. Write assessment report using the correct template. Submit first draft to supervisor by due date and incorporate revisions. Training : Conduct RBT training and new hire orientation. Develop and deliver trainings and workshops. Present at trainings and demonstrate competency. Create and edit clinical protocols and training materials. Internal Communication : Respond to all communications within 24 business hours. Document case or staff concerns and follow up. Notify HR of policy or protocol issues immediately. Report IT issues that hinder work duties. Notify supervisor of client concerns (services on hold, 30‑day termination, grievances). Measures of Performance Attainment of annual goals established with the Clinical Director. Meet all essential job function requirements. Performance measured through the Clinical Supervisor checklist. Maintain a minimum 40‑hour work week, with at least 6 billable hours per day Monday‑Friday. Maintain at least 30 client billable hours per week (supervision and parent consultation). Maintain a 70/30% breakdown of client billable hours (direct vs. indirect). Availability to commute to assigned region and headquarters as required. Requirements BCBA certification. Completed the 8‑hour BCBA supervision course (BACB). Completed CAQH and insurance credentialing applications and modules. CPR or BLS certification required. At least two years in a supervisory or management position. Computer literate: Excel, Microsoft, PowerPoint. Availability to work weekends as needed. Ongoing training to support job competency. Physical requirements: sitting, standing, kneeling, walking, running, bending, twisting, writing. Ability to see, hear, and speak articulately; understand and give written and verbal instructions. Valid California driver’s license and reliable vehicle with proper auto insurance. Excellent written and communication skills. Pass TB test and background check / Live Scan fingerprint.
