Overview Rutgers, The State University of New Jersey is seeking a Department Administrator for the Environmental and Occupational Health Sciences Institute (EOHSI). Under the direction of the Director and Deputy Director of the NIEHS Center for Environmental Health, the role will oversee the financial and administrative operations of the NIEHS Center for Environmental Health Sciences grant funded by the National Institute of Environmental Health Sciences. Key Duties Presents and manages the NIEHS Center grant, including report generation and compliance monitoring. Oversees grant administration, fund distribution, pilot program management, ordering, expense reporting, and non‑competing renewal reports. Monitors regulatory compliance and adjudicates issues. Organizes and facilitates Center activities, including CEED meetings, seminars, workshops, retreats, and community‑based research initiatives. Sets agendas, invites speakers, and provides logistical support. Manages financial aspects and administration of the Scientific External and Internal Advisory Boards. Develops and maintains databases for scientific research and publications of CEED members. Directs the bi‑annual research pilot project program and tracks its financial aspects. Maintains status reports on all projects. Employment Details FLSA: Exempt Grade: 05 Position Status: Full Time Standard Hours: 37.5 per week Hybrid work arrangement may be available, subject to approval. Salary Minimum: $68,278.48 | Mid‑Range: $84,393.98 | Maximum: $100,509.48. Two or more years of administrative/secretarial experience and general office operations, procedures, and grant submission. Required Knowledge, Skills, and Abilities Proficiency in Microsoft Office (Word, Excel, PowerPoint). Preferred Qualifications Experience in grants administration with expertise in multi‑PI (>30) and multi‑million dollar awards. Ability to organize multi‑layered meetings, including handling internal and external attendee needs and site coordination. Strong writing skills, including scientific writing/editing for grant and manuscript submissions and generation of annual award reports. Knowledge of SciQuest (RU Marketplace), PeopleSoft, Concur, and the Research Administration & Proposal Submission System (RAPSS). Familiarity with RU office software platforms (Box, WebEx, EndNote, TCM, RAPSS, Zoom). Physical Demands Must be able to relocate office supplies and manipulate items such as tables and chairs for center events.
