Position Summary: The Executive Assistant provides confidential Administrative Support to the Chief Executive Officer (CEO) of Equinox, Inc. and the Leadership Team Members as needed. The Executive Assistant will coordinate Board of Director Meetings, as well as Board Committee Meetings with the CEO.

Essential Duties and Responsibilities:

  • Handles all departmental correspondence for the CEO
  • Prepares draft correspondence for the CEO
  • Responsible for coordinating meetings and calendar for CEO
  • Responsible for all administrative duties for all Board of Director and Board Committee materials including distribution one week in advance of all scheduled meetings
  • Take and prepare minutes at Board Meetings, Board Committee meetings, and other meetings, as requested
  • Document Action Items reviewed at the Leadership Team meetings and distribute to the members within 24 hours of meeting to ensure appropriate follow up
  • Attends agency wide meetings as assigned.
  • Compile information and prepare reports and/or presentations as needed
  • Operate standard office equipment (copier, fax, scanner, etc.)
  • Maintain standard office and standard business filing systems.
  • Assists with a variety of administrative projects, as assigned
  • Demonstrates excellence in both internal and external customer service
  • Distribution of mail to administrative staff 
  • Keep all client/staff information in the strictest of confidence
  • Completes other duties as assigned

Requirements

Physical Requirements:

  • Ability to sit for long periods of time

Minimum Qualifications:

  • Associates Degree 
  • Minimum of three (3) years’ experience in a professional business environment as an executive and/or administrative assistant to senior management required
  • Experience with taking meeting minutes and organizing virtual meetings 
  • Possess computer skills and is proficient in Microsoft Office Suite, Must possess organizational skills. Excellent verbal and written communication

Preferred Qualifications:

  • Bachelor’s Degree
  • 5 + years’ work experience in executive assistant management

Preferred Qualifications: Monday - Friday
