Payroll Manager

Accounting Full Time $90-$100K, Depending on Experience 2401 E 2nd Ave, Suite 300, Denver, CO, 80206 Payroll Manager Department: Accounting / Finance Reports To: Controller Position Summary The Payroll Manager is responsible for overseeing all aspects of payroll administration for approximately 150 employees across multiple states. This role ensures accurate and timely payroll processing, compliance with federal, state, and local regulations, payroll tax administration, payroll accounting, benefits and retirement plan reconciliations, reporting, and payroll system management. The Payroll Manager serves as the organization's subject matter expert for payroll and works closely with Human Resources, Accounting, Operations, and leadership to maintain compliance, strengthen internal controls, improve processes, and provide exceptional service to employees. Essential Duties and Responsibilities Payroll Administration Manage and process biweekly payroll for all employees, ensuring accuracy, timeliness, and compliance with applicable laws and company policies. Review payroll information including wages, bonuses, deductions, garnishments, benefits, time records, and other payroll-related adjustments. Ensure proper payroll set-up and maintenance for new hires, promotions, transfers, compensation changes, and terminations. Audit payroll data prior to processing and resolve discrepancies as necessary. Reconcile payroll registers and maintain payroll documentation and records. Compliance and Tax Administration Ensure compliance with all federal, state, and local payroll tax regulations. Prepare, review, and reconcile payroll tax filings and payments. Monitor payroll practices to ensure compliance with wage and hour laws and applicable labor regulations. Stay informed of payroll legislation and regulatory changes and implement necessary updates to processes and procedures. Coordinate payroll-related audits and respond to requests from auditors, regulatory agencies, and internal stakeholders. Benefits and Retirement Administration Coordinate payroll-related benefit deductions and reconciliations. Administer payroll components of employee benefit plans, including medical, dental, vision, life insurance, and voluntary benefits. Oversee payroll-related 401(k) administration, contribution reporting, reconciliations, and compliance requirements. Partner with Human Resources and benefit providers to ensure accurate deductions and reporting. Accounting and Financial Reporting Prepare payroll-related journal entries and account reconciliations. Prepare benefit allocations when applicable. Reconcile payroll accounts, benefit accounts, tax liabilities, and related balance sheet accounts. Assist with month-end and year-end activities. Generate payroll reports and analytics for leadership, Finance, and Human Resources. Support budgeting, forecasting, and compensation-related analysis as requested. Systems, Controls, and Process Improvement Serve as payroll system administrator and primary point of contact for payroll-related software. Maintain and strengthen payroll internal controls and operating procedures. Lead payroll system testing, upgrades, implementations, and process enhancements. Identify opportunities to improve efficiency, accuracy, and employee experience through automation and process improvements. Develop and maintain payroll policies, procedures, and documentation. Employee Support Respond to employee payroll inquiries in a professional, timely, and confidential manner. Provide guidance to managers and employees regarding payroll policies, deductions, taxes, and earnings. Maintain strict confidentiality regarding employee compensation and payroll information. Qualifications Education Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field preferred. Equivalent combination of education and relevant payroll experience may be considered. Experience Minimum of five years of progressive payroll administration experience. Experience processing multi-state payroll. Experience managing payroll for a multi-location workforce. Experience with payroll tax administration, reconciliations, reporting, and compliance. Experience supporting audits and regulatory reporting requirements. Experience in property management, real estate, hospitality, or a related industry is preferred. Technical Skills Strong knowledge of federal, state, and local payroll regulations. Experience with payroll software is a must. Experience with UKG Ready is a plus. Proficiency in Microsoft Excel, including Pivot Tables, look-up functions, and advanced reporting. Working knowledge of payroll, accounting and general ledger processes. Experience with property management platforms such as Entrata, is a plus. Professional Certifications Certified Payroll Professional (CPP) certification preferred.
