Departmental Secretary - Interventional Cardiology

Position Summary We have an exciting opportunity to join our team as a Departmental Secretary. In this role, the successful candidate will be responsible for the office operation of the department and serving as Secretary to a Department Head. Responsibilities Assist in maintaining contact with sections in the department and other departments. Plan and coordinate interrelated activities effectively and efficiently according to schedule. Make requests to other areas, allowing them sufficient time to reply; respond quickly to ensure efficient coordination. Convey correct information to involved parties. Schedule appointments and conferences, confirm attendance, and facilitate program operation. Attend meetings and participate on committees as required; prepare minutes as needed. Calculate figures correctly, verify and record revenues and expenses accurately, resolve discrepancies and maintain records according to departmental procedure. Take and transcribe complex dictation; type materials neatly and accurately, utilizing the Dictaphone proficiently when required; proofread, edit, organize and format typewritten materials. Use the word processor efficiently; contact service/maintenance companies for needed repairs and suggest software/hardware enhancements to the supervisor. Compose, prepare and edit general correspondence; prepare responses that are clear, grammatically correct and meet content requirements; complete and send them promptly; properly format responses. Route complex correspondence to the supervisor and attach related records or information. Collect, update and summarize data and statistics for the department; submit data to the supervisor in a neat and well‑written format; ensure requested information is accurate and complete; utilize appropriate sources. Assign, direct and coordinate the work of subordinate clerical staff; utilize personnel efficiently by delegating assignments; monitor assignments to ensure neatness, accuracy and completion; ensure tasks are completed in accordance with established practices. Order and maintain an inventory of supplies for the department; ensure an adequate level of supplies is available on an ongoing basis while adhering to budgetary restrictions; order supplies on a regularly specified basis and process exceptions upon request; initiate follow‑up with Vendor/General Stores, Purchasing, Receiving, Accounts Payable or Printing as needed. Arrange for the repair or removal of malfunctioning equipment according to supervisor’s instructions. Greeter, direct and respond to the needs and requests of staff, patients and general public; answer telephone inquiries promptly, professionally and courteously; identify the department when answering the phone; direct calls and visitors appropriately based on content of inquiry; obtain information, answer questions and resolve routine moderate problems in accordance with departmental and/or NYULH policies and procedures. Tak messages accurately, date them and convey them on a timely basis. Set up and maintain files and complex records of departmental and program activities; maintain records in an organized and up‑to‑date manner; establish a filing system allowing prompt retrieval of all information; complete filing accurately and promptly; maintain departmental information in accordance with NYULH, Federal, State and City Agency regulations; periodically review files for renewals, clarity, additional information requirements and initiate corrective follow‑up; review and purge files as appropriate. Perform any other data processing or clerical work as assigned by management. Additional Position Specific Responsibilities Triaging high phone volume and scheduling procedures. Ability to manage email box and multi‑task requirement. Minimum Qualifications High School Diploma required. Minimum of four years of secretarial experience required. Proficient in typing (50 WPM) and Microsoft Applications (Excel, Word, PowerPoint, Outlook). Knowledge of medical terminology.
