The Operations Supervisor plays a vital role in advancing the mission of CALL Primrose by ensuring every client receives nutritious food with dignity while fostering an organized, efficient, safe, and welcoming environment for clients, volunteers, staff, and the community.

Position Summary

The Operations Supervisor is responsible for the day-to-day supervision of pantry operations, ensuring efficient, safe, and client-centered service delivery. This position supervises pantry volunteers, coordinates volunteer recruitment and scheduling, oversees inventory and food distribution activities, and ensures compliance with CALL Primrose policies and food safety standards.

Working closely with staff, volunteers, and community partners, the Operations Oversight Supervisor maintains a welcoming, organized, and efficient pantry environment while advancing CALL Primrose's mission of reducing food insecurity throughout San Mateo County.

This is an on-site leadership position requiring regular and reliable attendance during pantry operating hours to oversee daily operations, supervise volunteers, respond to client needs, and ensure safe and efficient operations.

Essential Duties and Responsibilities

Pantry Operations

• Oversee daily pantry operations to ensure efficient, safe, and client-centered service.
• Maintain a clean, organized, well-stocked, and safe pantry environment.
• Coordinate food distribution and client flow to minimize wait times.
• Monitor workflow and adjust volunteer assignments to meet operational needs.
• Ensure compliance with food handling, storage, rotation, and safety regulations.
• Monitor inventory and communicate purchasing and supply needs.
• Ensure facilities and equipment are properly maintained and report repair needs.
• Recommend and implement operational improvements.
• Ensure accurate completion of daily opening and closing procedures.
• Volunteer Management
• Recruit, orient, train, supervise, and support pantry volunteers.
• Develop and maintain volunteer schedules to ensure adequate coverage.
• Match volunteers with assignments based on skills and interests.
• Ensure volunteers understand organizational policies, safety procedures, and service expectations.
• Provide coaching, recognition, and constructive performance feedback.
• Foster an inclusive, respectful, and positive volunteer environment.

Client Services

• Ensure every client receives respectful, compassionate, and dignified service.
• Support staff and volunteers in maintaining CALL Primrose's client-choice distribution model.
• Resolve client concerns professionally while maintaining confidentiality and appropriate boundaries.

Staff Leadership

• Provide day-to-day operational leadership.
• Communicate priorities while fostering teamwork, accountability, professionalism, and respectful communication.

Safety & Compliance

• Ensure compliance with food safety regulations, food bank requirements, and organizational policies.
• Maintain accurate operational and volunteer records.
• Monitor facility safety, report concerns promptly, and assist with emergency preparedness.

Administrative & Other Responsibilities

• Recruit new volunteers when openings occur
• Support seasonal programs, food drives, community events, and special projects.
• Maintain volunteer schedules
• Perform other duties as assigned.

Qualifications

• Bachelor's degree in Business Administration, Nonprofit Management, Public Administration, Operations Management, Human Services, or a related field preferred. Equivalent combination of education and progressively responsible leadership experience will be considered.
• Minimum of five (5) five years of progressively responsible supervisory or operations experience in nonprofit operations, food distribution, retail operations, logistics, warehouse management, volunteer management, or a related field.
• Demonstrated success managing, supervising, motivating, and developing a diverse volunteer workforce. Experience coordinating large volunteer schedules and creating a positive volunteer culture is strongly preferred.
• Proven experience leading daily operations in a fast-paced, client-service environment while maintaining high standards of efficiency, safety, and professionalism.
• Experience supervising employees, volunteers, or multidisciplinary teams, including training, coaching, performance management, conflict resolution, and accountability.
• Excellent interpersonal, written, and verbal communication skills with the ability to build positive relationships with volunteers, staff, clients, and community partners.
• Demonstrated ability to analyze operational challenges, identify opportunities for improvement, and implement effective solutions.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams, with the ability to quickly learn donor, volunteer, inventory, and client management software.
• Ability to exercise sound judgment, maintain confidentiality, and make appropriate decisions independently while collaborating effectively with organizational leadership.
• Current California driver's license and insurability required.

Working Conditions

• Frequent standing, walking, bending, lifting, and reaching.
• Ability to lift and carry up to 40 pounds.
• Indoor pantry and warehouse environment with occasional outdoor work.
• Fast-paced environment with frequent interruptions and changing priorities.
• Occasional evening or weekend work may be required for special events, food drives, or volunteer activities.

Schedule & Compensation

This is a part-time, approximately 30-hour-per-week, on-site position based in downtown Burlingame.

Hourly rate: $48–$50 per hour , depending on experience and qualifications.
