Accounting Specialist

Position Summary

The Accounting Specialist is a hands-on accounting position responsible for supporting the company's day-to-day accounting operations. The role works closely with the Accounting Manager and accounting team on accounts payable, accounts receivable, customer invoicing, cash activity, reconciliations, and month-end support. A key expectation of the position is to maintain effective cross-training and backup coverage across the department.
Key Responsibilities

• Process accounts payable activities, including invoice review, payment preparation, vendor reconciliations, and resolution of billing discrepancies.
• Support accounts receivable activities, including collection follow-up, customer account research, reconciliations, and resolution of past-due balances.
• Support the customer invoicing process, including invoice preparation, review, distribution, and resolution of billing issues.
• Perform cash-handling and deposit activities, cash reconciliations, and coordination with banking and cash-handling vendors.
• Prepare GL account reconciliations and assist with month-end accounting activities, supporting schedules, and routine reporting.
• Research and resolve accounting discrepancies and other day-to-day accounting issues.
• Work closely with the Accounting Manager and accounting team to learn key processes and maintain effective cross-training and backup coverage.
• Crosstrain on payroll processing to provide backup coverage for the team.
• Assist with other accounting and administrative duties as assigned.

Qualifications

• Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent relevant experience will be considered.
• 3+ years of accounting experience in a hands-on role supporting multiple accounting functions required.
• Working knowledge of accounts payable, accounts receivable, reconciliations, and general accounting processes.
• Strong Microsoft Excel skills required, including pivot tables, XLOOKUP/SUMIF, and formula-based reconciliations.
• Experience with accounting or ERP systems required; experience with Sage accounting software strongly preferred.
• Strong organizational skills, attention to detail, and ability to manage multiple priorities.
• Ability to research and resolve issues independently while communicating effectively with team members, customers, and vendors.
• Comfort working in a small accounting team where responsibilities are shared and cross-training is expected.
