Executive Assistant

Executive Assistant This posting will close at 11:59 PM (Eastern time) on 07/07/2026 . Position Level: Contributing Responsibilities Provide primary administrative support to the Associate Provost (AP) for Undergraduate Education and Faculty Affairs. Manage a busy Outlook calendar and schedule meetings. Project management: draft agendas, prepare meeting materials, and coordinate meeting locations. Create and maintain documents in Microsoft Teams. Handle written and oral communication with multiple constituencies. Assist with office budget tasks, travel authorizations, reconciliations, purchasing requests, FLAC and EPAF assignments. Plan events, maintain leave time sheets for the unit, and coordinate with university catering services. Provide backup duties for the Office of the Provost and perform other assigned duties within the Office of the Provost. Minimum Education and Experience Requirements Graduation from high school with three years of progressively responsible administrative/office management experience; OR graduation from a two‑year secretarial science or business administration program with one year of equivalent experience; OR graduation from a four‑year college or university, preferably with a major emphasis on business administration or a related field; or an equivalent combination of training and experience. Degrees must be received from appropriately accredited institutions. Preferred Education, Professional Skills and Experience Experience in higher education with handling large volumes of work. Ability to exercise judgment, tact, and discretion when dealing with administrators, faculty, staff, and community members. Proactive, forward‑thinking mindset. Solution‑oriented; seeks independent solutions to problems. Ability to manage multiple assignments, organize work, and set priorities with minimal supervision. Ability to analyze, interpret, and implement policy and procedural guidelines. Skill in coordinating resources to gather information. Skilled at scheduling and maintaining quickly changing schedules. Effective coordination of events and meetings. Teamwork and collaboration skills. Experience with university purchasing processes and reconciliation. Experience booking travel and conference reservations. Ample experience with Microsoft Office Word, Excel, PowerPoint, SharePoint, Teams, and Zoom. Required Certifications or Licensure None Employment Details FTE: 1.0 (40 hours per week) Months per year: 12 Work days: Monday–Friday Work hours: 8:00 AM–5:00 PM Type of Position: Permanent Benefits of Working at UNCW Employees are provided a comprehensive benefits package including dental, vision, and health insurance plans eligible from the first of the month following hire. Full‑time employees are eligible for a tuition waiver program covering the cost of tuition and fees for up to three undergraduate or graduate courses per academic year at UNCW or any other university within the UNC System, plus one UNCW course each summer session. Additional benefits: free membership to the Campus Recreation Center, free vaccine and booster shots, meditation and yoga sessions, voluntary supplemental insurance coverages, pre‑tax flexible spending accounts, 12 paid holidays, 24 hours of paid community service leave time, paid vacation and sick leave accrual, and family medical leave after 12 months of continuous service.
