Office & Accounting Coordinator - Arcadia, WI

Join our Team! Johnson Tractor is seeking a highly organized and detail-oriented Office & Accounting Coordinator to support operations at one of our dealership locations. This role plays a key part in managing cash handling, accounts payable, sales administration, payroll support, and general office operations to help keep the dealership running efficiently. The ideal candidate will be highly organized, detail-oriented, and very proficient in Microsoft Office Suite, particularly Excel and Outlook, as the role relies heavily on financial tracking, reporting, and documentation. This position works closely with Sales, Parts, Service, and Accounting teams to ensure consistent, accurate, and efficient processes across the dealership. What You’ll Do: Front Office & Administrative Support: Answer and direct incoming phone calls professionally and courteously Process incoming mail, customer payments, and office documentation Maintain organized digital and physical filing systems Monitor and follow up on open administrative items and internal requests Support general office organization and day-to-day administrative needs Balance daily cash drawer and reconcile transactions according to company procedures Prepare and complete bank deposits and post them in the dealership management system Process petty cash with proper documentation and track over/shorts Review accounts receivable reports and assist with account maintenance as needed Accounts Payable & Invoice Processing: Retrieve, code, and submit invoices for approval and timely payment Monitor due dates and discounts to support prompt payment Attach invoices to corresponding wholegoods in the dealership management system when applicable Maintain organized financial records and assist with invoice research or reconciliation Wholegoods & Sales Administration: Create and maintain new and used wholegood units in dealership systems and TractorZoom Process sales documentation, credit contracts, and financing agreements Facilitate equipment settlement processes with vendors Complete required registration documentation and assist with customer signatures on agreements Payroll & Timekeeping Support: Review payroll reports for accuracy prior to submission Enter approved PTO into the system and adjust timeclock records as needed Reporting & Operational Coordination: Maintain store calendar including PTO, trainings, and store events Order office supplies and maintain appropriate inventory levels Update and maintain tax-exempt documentation and customer tax coding Assist with store events, audits, and other operational initiatives What We’re Looking For: Strong organizational skills with the ability to manage multiple tasks and shifting priorities Advanced Microsoft Office skills, particularly Excel and Outlook Excellent written and verbal communication skills Team-oriented mindset with a willingness to support multiple departments High attention to detail with strong documentation and record-keeping skills Professional phone etiquette and a customer-focused approach Basic understanding of accounting principles, including cash reconciliation, accounts payable, and accounts receivable Prior administrative, accounting, or dealership experience preferred but not required Valid driver’s license required What to Expect: Primarily office-based work with occasional time in shop or outdoor areas Regular use of computers, dealership management systems, and communication tools May involve periods of sitting, standing, and walking as needed Fast-paced, team-oriented environment focused on accuracy, efficiency, and customer service Occasional collaboration with other store locations for reporting or operational support Why Join Johnson Tractor: Be part of a family-owned dealership with a supportive, team-focused environment Work with a variety of agriculture and lawn/garden equipment Gain experience in a hands-on, fast-paced service department Opportunities to learn and grow within the company Job Type: Full-time Benefits Include: Health Insurance – Coverage begins the 1st of the month after hire First Dollar Benefits – $3,000 employee / $6,000 with dependents for medical expenses before deductible CARE Center Support – Confidential advocate for help with claims, billing, and benefit questions Flexible Spending Account (FSA) – Pre-tax contributions with annual rollover Dental & Vision Insurance – Coverage for preventive care, glasses, contacts, and more Life and AD&D Insurance – Company-paid coverage with optional voluntary plans Short-Term Disability – Weekly wage protection during recovery from illness or injury 401(k) with Company Match – Plan to help you save for retirement Paid Time Off and Holidays – Accrual begins on day one Annual Safety Boot Reimbursement – Available for eligible roles Ongoing Training Opportunities – Including OEM certifications and off-site learning Be a part of something bigger—supporting the ag community through great service. #J-18808-Ljbffr
